SUMMARY

Coordinator office support for Facilities/Maintenance Department.

SPECIFIC RESPONSIBILITIES:

• Issue purchase orders for technicians and vendors. Support technicians in the field. Place orders to vendors, follow up on orders, request quotes.
• Process all Facilities Department purchase orders.
• Process all Facilities Department invoices.
• Assist District Managers and General Managers in handling all new store warranty issues.
• Open new accounts for credit.
• Set up all new vendors.
• Analyses and tracks Purchase Order Aging Report.
• Assists with various facilities specific projects.
• Manage DERM backflow preventers for all stores.
• Manage grease trap permits for all stores
• Process all capital expenses for all stores and corporate office.
• Track various accounts set up for Facilities Department
• Coordinate time sheets for technicians
• Handle expenses, checks, uniforms, Shoes for Crews and cellular phones for technicians.
• Support Construction Administration Supervisor in paperwork overflow, primarily in processing construction payables.
• Physical inventory account of all equipment for technicians (monthly).
• Code department invoices and support AP dept. with inquiries at month-end closings.

KEY INTERFACES

On a frequent basis will interface with Accounting Department, Operations Department, District Managers, and all Restaurant Managers.

• Excellent communication skills
• Demonstrated ability to work independently.
• Must rely on extensive experience and judgment to plan and accomplish goals.
• A wide degree of creativity and latitude is expected.
• Able to prioritize and exercise good judgment.
• Knowledge of Corrigo.

MINIMUM REQUIREMENTS:

• High School Graduate
• Three to four years construction/facilities project experience.
• Strong organizational skills with the ability to follow-up on details.
• Good computer skills with advanced knowledge of Microsoft Excel and Word
• Ability to lift up to 20 pounds
