Primary Function
The Manager of Facilities oversees the maintenance and functionality of all facilities within the Reid Stores, Inc. retail convenience portfolio. This role involves managing the upkeep of the store's physical infrastructure, equipment, and grounds to ensure a safe, clean, and efficient environment for customers and employees. The Manager of Facilities collaborates with store managers and external vendors to address maintenance issues promptly and implement strategies to enhance operational performance.
Duties/Responsibilities
Facilities Maintenance:
- Develop and implement maintenance schedules for store facilities, including buildings, store equipment, and parking lots.
- Schedule and coordinate monthly inspections to identify maintenance needs and address them promptly to minimize downtime.
- Manage repairs, renovations, and preventive maintenance activities for HVAC systems, refrigeration units, lighting, plumbing, and electrical systems.
- Ensure compliance with health and safety regulations, including fire safety regulations.
Vendor Management:
- Manage relationships with external contractors, service providers, and vendors for maintenance and repair services.
- Solicit bids, negotiate contracts, and oversee work performed by third-party vendors to ensure quality and cost-effectiveness.
- Monitor vendor performance, track service agreements, and address any issues or concerns promptly.
Emergency Response:
- Develop and implement emergency response plans and procedures, including procedures for power outages, equipment failures, and inclement weather events.
- Coordinate with store managers and corporate leadership to ensure staff are trained on emergency procedures and equipment operation.
- Respond promptly to emergency situations, coordinating with external agencies as needed, and ensuring the safety of customers and employees.
Inventory and Supplies Management:
- Manage inventory of maintenance supplies, spare parts, and equipment necessary for facility maintenance.
- Coordinate procurement of supplies and equipment, ensuring timely delivery and cost-effective purchasing practices.
- Monitor inventory levels, track usage, and implement inventory control measures to minimize waste and optimize inventory turnover.
Budget Management:
- Develop and manage the facilities budget, including operational expenses, capital expenditures, and maintenance costs.
- Identify cost-saving opportunities and efficiencies in facility operations, implementing strategies to optimize spending.
- Track and report expenses, monitor financial performance, and provide regular budget updates to store managers and corporate leadership.
Compliance and Regulatory Requirements:
- Ensure facility compliance with all relevant regulatory requirements, including environmental regulations, building codes, and health and safety standards.
- Conduct regular audits and inspections to ensure facilities meet regulatory standards and address any compliance issues promptly.
- Maintain accurate records and documentation related to facility maintenance, inspections, and compliance activities.
Remodel Project Management:
- Oversee the work completed at remodeled locations.
- Liaison with the Real Estate, Merchandising and Operations teams during remodel projects.
- Conduct final walk through at locations after remodel completion.
Requirements
Minimum Qualifications
- High school diploma or equivalent; bachelor's degree in Facilities Management, Business Administration, or related field preferred.
- Proven experience in facilities management or related field, preferably in the retail or convenience store industry.
- Knowledge of building systems and maintenance practices, including HVAC, refrigeration, plumbing, and electrical systems.
- Strong organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities and work independently with minimal supervision.
- Proficiency in budget management and financial analysis.
- Familiarity with facility management software and tools for maintenance tracking and reporting.
- Knowledge of health and safety regulations, food safety standards, and environmental compliance requirements.
- Ability to lead a team and collaborate effectively with store managers, vendors, and corporate stakeholders.
- Be able to lift 40 pounds.
- Be able to tolerate exposure to gasoline fumes and cleaning products.
- This position requires travel within the company footprint.
