FACILITIES SUPERVISOR supervises and coordinates the day-to-day maintenance and support of buildings, grounds, and facilities systems. Oversees staff installing, inspecting, repairing, and maintaining building systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management. Being a FACILITIES SUPERVISOR tracks work orders and ensures work follows established service and quality standards for completion. Schedules and supervises preventative maintenance, painting, or carpentry projects. Additionally, FACILITIES SUPERVISOR maintains a safe and effective working environment that complies with regulations and laws. May coordinate work to be completed by contractors and skilled trades. Typically requires an associate degree. Typically reports to a manager. The FACILITIES SUPERVISOR supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. To be a FACILITIES SUPERVISOR typically requires 3 years experience in the related area as an individual contributor. Facilities Coordinator

  • Responsibilities
    • Manage facilities ticketing system, respond in a timely manner.
    • Work with vendors to schedule repairs and installations, monitor work and report back on status.
    • Maintain all contact with vendors, schedule for repairs and maintain, vendor files and COI's.
    • Responding to urgent maintenance calls.
    • Review vendors every 1-2 years for pricing, efficiencies and service; bid out as necessary
    • Work with the Risk Management Specialist to promote safety within the building.
    • Liaising with vendors and suppliers on behalf of Facility Manager.
    • Reporting any updates to the Facilities Manager on a regular basis.
    • Oversee cleaning crews and maintenance workers.
    • Documenting processes and keeping maintenance records.
    • Oversee, manage and approve all invoices related to corporate office and branch offices as necessary
    • Maintain Records Retention, including annual purge of files for destruction
    • Oversee and maintain Waste Management services throughout company with current vendor, Modern Waste
    • All other miscellaneous responsibilities and other duties as assigned.

    Skills/ Qualifications

    • A minimum of 2 years of experience in facility coordination, project management, or real estate preferred.
    • Experience in building and equipment maintenance preferred
    • Ability to respond to building and equipment emergencies.
    • Proficiency in office software, such as Microsoft Word, Excel, and Outlook Express.
    • Excellent organizational, customer service and communication skills.
    • Valid driver's license and a clean driving record required.
    • Final applicant will need to have the ability to pass a pre-employment screening process.
     Physical Requirements and Working Conditions
    • Frequent standing, walking, talking, listening, working at a computer and travel.
    • Occasional sitting, climbing or balancing, stooping, crouching, kneeling and crawling.
    • Occasional lifting/moving up to 30 pounds.
    • Motor vehicle driving vision and computer usage vision required.
    • Close, distance, color, depth perception and focusing vision required.
    • Noise level is usually moderate.
