FACILITIES SUPERVISOR supervises and coordinates the day-to-day maintenance and support of buildings, grounds, and facilities systems. Oversees staff installing, inspecting, repairing, and maintaining building systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management. Being a FACILITIES SUPERVISOR tracks work orders and ensures work follows established service and quality standards for completion. Schedules and supervises preventative maintenance, painting, or carpentry projects. Additionally, FACILITIES SUPERVISOR maintains a safe and effective working environment that complies with regulations and laws. May coordinate work to be completed by contractors and skilled trades. Typically requires an associate degree. Typically reports to a manager.   • POSITION SUMMARY

    The Facilities Services Supervisor provides the Director of Facilities Services and the Facilities Staff with coordination, project management, contract management, and administrative support and janitorial supervision and guidance in order to enhance the efficiency and effectiveness of the Facilities Services Department in maintaining the finest possible facility environment and in promoting a positive image of Performing Arts Center Authority (PACA) and its managed venues.


    ESSENTIAL FUNCTIONS

    • Independently coordinate the Facilities Services Department's activities as assigned and in the absence of the Director of Facilities Services and Maintenance Foreman.
    • Supervise the outsourced cleaning staff, including coaching, training, and working with vendor management to ensure staffing decisions and actions are consistent with organizational goals. Training responsibilities include safety compliance, and material safety data sheets (MSDS) update.
    • Supervise Janitorial Lead Person 1st, 2nd and 3rd shifts in day to assignments.
    • Allocate work and cleanings goals with Janitorial Lead Person
    • Teach Janitorial Lead Person cleaning methods and product usage.
    • Determine with Facility Director each shift staffing level as a function of work plan.
    • Periodically provide shift presence to ensure work quality.
    • Maintain communication between departments, maintenance, janitorial and all other facilities services to support optimal functioning of the Facilities Services Department.
    • Create, utilize, execute a cost-effective plan for the completion of assigned cleaning projects and revise as appropriate to meet changing needs and requirements.
    • Prepare the Facilities Staff work schedule based on operational needs and process timesheets for the Director of Facilities Services' review and approval.
    • Manage the preventative maintenance software program for the assignment and clearance of scheduled maintenance tasks in collaboration with the Director of Facilities Services and the Maintenance Foreman.
    • Collaborate with the Director of Facilities Services and Facilities Staff in administering the operating budget through sound decision making based on cost, necessity, and timeliness.
    • Manage vendor relationships and contracts to obtain better pricing.
    • Review and analyze vendor contracts to achieve the highest level of customer service and optimize financial results.
    • Lead meetings with vendors in the absence of the Director of Facilities Services.
    • Research, gather, and refer publication materials on capital and operational improvement projects.
    • Attend meetings, conferences, and/or training sessions to remain current in state and federal regulatory requirements.
    • Assist Facilities Director in reviewing and processing all Facility invoices with Finance Dept.
    • Maintain and update the Facilities Services Department's administrative policies, processes, and supplies.
    • Maintain and organize department's central files, information, filing, messages, and library.
    • Assist the Facilities Services Staff in locating parts, supplies, and materials.
    • Prepare and maintain bid information, ads, and documents.
    • Prepare internal bill-backs and documents for events that pertain to the department.
    • Prepare facilities correspondence to vendors as needed and facilities special reports.
    • Coordinate assigned projects timely, expediently, efficiently, and within the constraints of PACA's event schedules in order to minimize conflicts and support event coordination.
    • Provide administrative support to all members of the Facilities Services Department operations (filing, paperwork, maintaining office equipment, placing orders for equipment with the approval of the Director of Facilities Services, answering the telephone, etc.) as needed.
    • Will complete additional responsibilities as assigned.

    • Able to learn and utilize the security system program. Familiarity with card access system preferred.
    • Able or willing to learn and understand general building equipment particularly HVAC systems.
    • Able to learn and utilize preventative maintenance software program.
    • Able to understand the organization's administrative principles, practices, and procedures.
    • Able to fully complete all assignments independently in a timely manner.
    • Able to effectively and efficiently multitask, set priorities, shift priorities, and adapt to changes in situations.
    • Knowledge of administrative support procedures and protocols.
    • Skilled in the use of office machines.
    • Able to supervise department staff and volunteers as assigned.
    • Skilled in Windows based programs, including Word, Outlook, Excel, Project, and PowerPoint.

    DESIRED EDUCATION AND EXPERIENCE

    • High School or Higher: General/Administrative/Business/or any equivalent combination of training and experience.
