Summary:
Under the direct supervision of the Director of Operations, this position provides administrative and clerical support for the Operations department. In addition to typing, filing, and scheduling, deals with a diverse group of important external callers as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload.
The most qualified candidate for this role will have experience assisting within a customer service environment, and operations. This position also requires an understanding of office productivity applications such as Microsoft Office Suite and Windows operation systems. Anyone who might fit well at Excel must be reliable, flexible, people-oriented, friendly, patient, fast learning, quick thinking, and have initiative and responsibility. A high-quality productivity level within a fast-paced environment is a necessity.
Responsibilities:
- Work from the corporate office Monday – Friday 8:30 AM to 5:00 PM
- Provide a high level of support to account managers of several facilities, taking all action necessary to ensure completion of required work by managers and the direction of the Senior Director of Operations.
- Complete and submit all required paperwork, including but not limited to missed service reports from the time management system.
- Complete and submit Requisition forms for all locations in need of staff as requested by the manager.
- Complete the New Hire Submission at the manager’s request.
- Review Gap cleaning schedule dates in teams
- Schedule additional Services (billables) and connect with sites making sure that supplies are available as requested by managers.
- Regularly communicate with managers to keep them up to date on the status of IVR usage, missed services and Gap cleaning.
- Maintain a professional appearance and dress while representing the company.
- Monitor and update daily IVR/Corrigo timekeeping software.
Skills and Education Requirements:
- Thoroughness, dependability, tact, and courtesy; ability to work in a team environment and good judgment.
- General knowledge of computer software.
- Effective communicator with customers, as well as with internal corporate personnel.
- Organized, proven problem-solving abilities, and ability to multi-task, and prioritize job responsibilities.
- Ability to work extra hours if needed.
- Bi-lingual (English/Spanish) a plus
