  • Automation Personnel Services is looking for a hard-working and experienced Construction Job File Coordinator in the Montgomery, Alabama area. In this role, you will be responsible for performing all job file coordinator tasks related to customer, adjuster, and insurance agent calls, including job monitoring, tracking, and auditing of Program jobs. To maintain a current and thorough understanding of Program requirements and ensure all Program jobs are within compliance with their specific insurance guidelines. Perform general office duties, such as drafting correspondence, filing, and creating reports.

    Pay Rate
    $14.00 - $15.00 (DOE)

    Schedule and Hours

    8:00am – 5:00pm

    Monday – Friday (Must be able to work overtime as needed)

    Construction Job File Coordinator Duties and Responsibilities

    • Processing and imposing digital files on multiple computers.
    • Monitor job file status daily.
    • Monitor job file audit status daily. Make dates or entries.
    • Maintain job files in WIPs.
    • Monitor and ensure client/program requirements are followed.
    • Monitor and ensure that Project Managers are updating all job files daily.
    • Monitor all assigned jobs to ensure that time stamps are being documented by DASH and Restoration Manager.
    • Update all program requirements daily, i.e., notes/photos/invoices/documents, etc.
    • Assist Project Managers with documentation uploads and entries.
    • Maintain internal communications with Project Managers and Office Manager/Supervisor.
    • Maintain external communications with Adjusters as needed.
    • Prepare job file reports.
    • Perform updates to estimates after initial upload.
    • Follow-up with adjuster to assist Project Managers as needed.
    • Complete and review job file documentation for final upload and the audit process.
    • Complete job file audit process.
    • Receive leads from various points, program assignment, call-ins, referrals, etc.
    • Process leads by obtaining all pertinent information, such as Point of Contact, loss address, damages, insurance information, affected areas (FNOL & Job Folder).
    • Forward prepared folder to the PM Coordinator for assignment.
    • During emergency situations assistance will be provided for the intake process.
    • Always check Work Center (W.C.) and DASH boards for Corporate Leads.
    Construction Job File Coordinator Qualifications and Requirements

    • Must be computer literate and willing to work and learn the trade.
    • A minimum two years of business experience
    • Working knowledge of current business software technologies
    • Superb customer service, administrative, and verbal and written communication skills
    • Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice always.
    • Polite, confident, and excellent customer service skills, including listening and Excellent organizational skills and strong attention to detail.
    • Very self-motivated and goal-oriented
    • Ability to multi-task
    • Capability to work in a fast-paced, team-oriented office environment.
    • Knowledge in Microsoft Office (i.e., Outlook, Word, Excel)
    • Ability to learn new software, including Xactimate® and proprietary Software.
    • Experience in the commercial cleaning and restoration or insurance industry is desired.
    • Must be able to lift to 50lbs. (Lifting Assessment to be given in office)
    • Experience with Adobe and Command Workstation software desirable.
    • A background in computer graphics, or as a copier technician is a plus!
    • Drug screen and background check required.
