We invite you to become a vital member of our leadership team as the Finance and Grants Manager. In this strategic role, you will ensure the financial vitality of our organization while directly reporting to the Executive Director. You will be responsible for overseeing daily accounting and payroll operations, maintaining precise financial records, preparing comprehensive reports, and managing account reconciliations. This position plays a crucial part in ensuring compliance and reporting for various government contracts and private grants. Your collaboration with the Executive Director will focus on developing and managing effective financial systems, accounting practices, compliance, and internal controls, supported by a contracted CPA. Your proficiency in accounting and financial analysis will be pivotal in ensuring transparency and accuracy in our operations. This is a full-time, exempt position with remote capabilities, requiring occasional visits to Aberdeen, WA, approximately every six weeks.
Key Responsibilities
- Prepare and maintain accurate accounting documentation and records.
- Ensure the integrity and organization of the accounting system.
- Supervise accounts payable, ensuring precise coding and prompt payments.
- Manage accounts receivable, comprehending program contracts and budgets, preparing invoices, and recording transactions and receipts.
- Prepare and document monthly grant invoices.
- Record payroll in QuickBooks and reconcile third-party payroll reports.
- Conduct monthly balance sheet account reconciliations and address discrepancies.
- Proactively manage cash flow, including receivables, payables, collections, and banking activities.
- Prepare for and actively participate in monthly grant billing review meetings.
- Generate monthly fiscal reports by their due dates.
- Comply with established standards, procedures, and applicable laws.
- Identify and communicate opportunities for improving financial processes.
- Oversee daily accounting functions performed by the office manager.
- Assist with external audits by gathering required information and preparing schedules.
- Collaborate with the Executive Director and other leaders to prepare the annual organizational budget and grant-specific budgets.
- Work with a contracted CPA to maintain compliance with financial deadlines.

Qualifications
- Bachelor's degree or equivalent in Accounting, Business Administration, or a related field preferred.
- 5 years of accounting experience.
- Proficient in QuickBooks Online or a similar accounting system.
- Familiarity with Microsoft Office and Google Suite.
- Experience with government grant requirements is preferred.
- Excellent communication skills coupled with strong organizational abilities.
- Exceptional accuracy and attention to detail.
