Assistant Director, Financial Aid

  • The Assistant Director of Financial Aid handles the certification, disbursement processing of the direct loan program. In addition this position will assist the Director with the implementation of office policy, procedure and operation including, counsel current and prospective students and their families, university faculty and staff and the public at large about financial aid eligibility determination and award processes; determine eligibility to receive aid, prepare award packages and process disbursements of aid to eligible students in a timely manner consistent with all applicable federal, state and institutional requirements and guidelines. Another aspect of this position will be the responsibility for providing the services and activities listed in this position description to students, staff, and faculty at Saint Martin’s University Extension Campuses. The Assistant Director will oversee staff who manage the R2T4 Federal return calculations.

    _

    • Upload loan disbursement files to the Common Original & Disbursement (COD) system
    • Process loan change request from students
    • Communicate in person, on the telephone and in one-on-one and group settings with current and prospective students, parents of students, university faculty and staff and the public, giving instructions and information and responding to questions.
    • Review student files to ensure conformance to standards and compliance with Federal and State requirements.
    • Award, verify, and counsel an assigned caseload of students.
    • Evaluate and review financial aid awards and make adjustments when special circumstances occur.
    • Supervise the office in the absence of the Director.
    • Remain current with federal and state regulations as they relate to the operation of the financial aid office. Reviews policies, procedures and systems for appropriateness, effectiveness, and efficiency. Recommends and implements changes and updates as needed.
    • Comprehend and makes inferences from written material, including but not limited to federal, state, and institutional rules, regulations and guidelines governing financial aid funding. Communicate this information to others.
    • Observe, compare and/or monitor data to determine compliance with prescribed operating standards and procedures.
    • Assist the Director in the preparation of reports to outside agencies and vendors.
    • Act as a liaison with other campus offices.
    • Participate with the Director in the hiring, training, and evaluating of support staff.
    • Occasionally present financial aid workshops to high school students and parents, campus groups, and other community groups.
    • Other duties as assigned.

    REQUIREMENTS AND/OR CONDITIONS OF EMPLOYMENT

    • Bachelor’s Degree from an accredited college or university [B1] .
    • Three years of progressively responsible financial aid experience and in-depth knowledge of Title IV regulations, Common Origination & Disbursement system (COD), EDConnect and PowerFAIDS.
    • Knowledge of PowerCAMPUS is preferred.
    • Valid Driver’s license and proof of current insurance.
    • Successfully pass a criminal background check.

    P HYSICAL DEMANDS AND WORKING ENVIRONMENT
    Work is performed in a standard office environment. Physical demands include:

    • Moves objects (less than 20 pounds) long distances (more than 20 feet).
    • Ability to be mobile campus wide for appropriate business needs.
    • Operates a variety of standard office equipment requiring continuous or repetitive arm-hand movements.
    • Reading, writing, speaking, hearing, standing, bending, sitting.
    • Learning and comprehending.
    • Requires visual concentration on detail.
    • Manual dexterity and precision required for keyboarding
    • Must be able to sit for long periods at a time at a computer
    • May occasionally be required to deal with distraught people.
    • Must be able to concentrate on details and process complex information while experiencing frequent interruptions.
    • Must be able to communicate effectively with people at all levels under stressful conditions.
    • Must maintain strict confidentiality relating to all issues in the department.
