    ABOUT THE DIVISION

    The goal of the Division of Administration and Finance (A&F) is to provide an innovative, collaborative, cost effective support infrastructure needed to deliver on AASCU’s mission. A&F is comprised of Human Resources, Information Technologies, Facilities, and Finance. All staff members are encouraged to think creatively about how they can address mission, member needs, and challenges that will inevitably arise from time to time.     SUMMARY OF POSITION

    The American Association of State Colleges and Universities (AASCU) is actively seeking a knowledgeable, enthusiastic, and detail-oriented Human Resources Generalist who enjoys being a continuous learner. This individual will play a crucial role in providing key support in A&F. Reporting to the Director of Human Resources, this role is instrumental in reshaping and refining our HR department as a trusted strategic business partner. The HR Generalist should have a clear understanding of HR best practices, proficiency in transactional tasks, effective communication skills, and hands-on experience with HRIS systems. High attention to detail, organizational skills, tech-savvy, and effective communication skills are essential.     DUTIES AND RESPONSIBILITIES

    Employee Relations & Staff Engagement

    • Coordinate and support the performance review process and ensure proper documentation of review.
    • Track and input payroll changes, maintain a working relationship with the accounting and payroll team to ensure we are clearly communicating with them.
    • Organize the tracking of documentation for grievances, harassment, and discrimination complaints.
    • Act as a resource for all staff regarding personnel policy, benefits, and HRIS employee portal related issues.
    • Organize and track employee pulse surveys on pressing issues and summarize responses.
    • Organize and retain files based on HR document retention plan.

     

    Compensation & Benefits

    • Provide support for the annual design of benefit plans, negotiations with benefit carriers, and regular reviews of benefits offered.
    • Organize and support efforts to review compensation structure and compensation benchmarking.
    • Offer support and training to all employees to understand compensation and benefits.
    • Assist the Director of HR in coordinating the annual open enrollment communications and elections process.
    • Assist in supporting annual open enrollment processes, ensuring clear and consistent communications.

     

    Talent Management and Workforce Planning

    • Provide vital administrative support to align staffing, recruiting, and retention strategies with organizational goals.
    • Support the development and implementation of robust recruitment, hiring, and onboarding processes. Support hiring managers and committees as needed.
    • Assist in updating job descriptions and contribute to strategic and operational workforce planning.
    • Organize efforts to develop and implement performance management processes.
    • Assist in the redesign and management of AASCU’s internship program and collaborate with departments to enhance the internship experience.

     

    Human Resources Strategy, Policies, Processes, Practices & Systems

    • Continuously support AASCU in staying up to date with employment regulations across all states, including local, state, and federal laws and mandates.
    • Assist in conducting comprehensive research on HR best practices, workplace trends, and regulations.
    • Coordinate the clear communication of legal requirements to staff and assist in the regular updating of policies and procedures.
    • Provide support in the creation and updating of HR policies, procedures, and guidelines, and contribute to the development of supervisor training programs.
    • Organize collaborative efforts with the Director of Human Resources to ensure HR policies foster diversity and inclusion.

     

    Compliance & Legal

    • Play a crucial role in maintaining confidentiality and HIPAA compliance.
    • Offer administrative support in managing the AASCU HR calendar, ensuring compliance with local, state, and federal HR labor laws, and meticulously meeting all deadlines for administrative and legal compliance.
    • Assist in administrative tasks related to all leaves of absence and accommodation-related requests.
    • Coordinate with the HR Director to conduct monthly auditing of HR files for consistent and accurate recordkeeping.
    • Organize the management of employee records in SharePoint and assist in configuring, updating, and maintaining documents on the HR SharePoint Folder.

     

    Facilities Support

    • Coordinate support for workspace planning and usage by proactively recommending workspace seating assignments.
    • Manage relationships with various office vendors to ensure AASCU’s office space is well maintained.
    • Organize efforts to coordinate with property management on needed maintenance and services.
    • Develop and lead office emergency preparedness activities and training.

     

     

    REQUIRED SKILLS AND ABILITIES

    • Proven ability to provide support for all areas of the HR lifecycle including tactical, operational, and strategic HR functions within the organization.
    • Basic knowledge of employment-related laws and regulations and the willingness to research and learn about them.
    • The ability to learn how to successfully apply employment regulations as needed.
    • Excellent verbal and written communication skills.
    • Ability to prepare information thoroughly and accurately as well as effectively edit documents.
    • Excellent people skills and the ability to maintain confidentiality.

    Qualifications


    QUALIFICATIONS

    • Bachelor’s degree in Human Resources, Business Administration, or related field required; experience combined with an active SHRM or HRCI Certification will be considered in lieu of degree.
    • At least 2 years of human resource administrative experience.
    • SHRM-CP or SHRM-SCP preferred; willingness to obtain certification in the first-year employment required.
    • Strong analytical and critical thinking skills to assemble, review and communicate data.
    • Advanced knowledge of Paycom or other similar HRIS and ability to learn new technical systems, when necessary.
    • Proficiency in MS Office including Outlook, SharePoint, Word, Excel, and PowerPoint, with ability to create tables and charts.
    • Demonstrated ability to deal appropriately with sensitive and confidential information.
    • Demonstrated ability to work well in a fast-paced, diverse, and inclusive team setting, remaining flexible, resourceful, and initiative-taking.

     

    COMPENSATION, BENEFITS, AND LOCATION

    Compensation is competitive and commensurate with experience.     This is a full-time position located at AASCU’s headquarters in Washington, D.C. AASCU employees who work within commuting distance to our offices are expected to work on a hybrid in person work schedule of 2 days in the office and 3 days optional remote. This schedule is subject to change based on work and organizational demands. All AASCU staff are required to be fully vaccinated including boosters as recommended by the CDC schedule. Please note during public health matters, AASCU employees will be required to follow the guidance on Personal Protective Equipment (PPE).
