Position Overview :
A Procurement Coordinator is responsible for supporting the Procurement department with various related departmental tasks such as but not limited to processing purchase orders, expediting non-conforming material returns (MRBs), tracking shipments from suppliers, and other related support duties as needed.
This position will rely on pre-established guidelines and instructions to perform the functions of the job. Execution will be performed through commonly-used procurement concepts, practices, and procedures through an official spend and approval matrix.
Essential Duties and Responsibilities :
Interface with cross-functional departments to determine Procurement requirements
Attend Project Management and Design Review meetings, relay Supply Chain specific actions to appropriate Buyer and / or Planner
Create purchase orders in ERP system for materials, outside processes, and receipt of customer supplied materials
Assist Procurement team with order status reports, purchase order date maintenance and various administrative functions
Coordinate the return / repair of non-conforming procured parts from Suppliers
Liaise with the Finance department to reconcile invoice and purchase orders discrepancies
Organize and maintain Supplier compliance and import / export records
Research pricing information and compare prices and lead times, recommend best source to use
Create and maintain department KPI and continuous improvement reports
Arrange internal / external meetings with Suppliers for Procurement and Quality related matters
Oversee office supply, marketing collateral and stationary purchases
Manage special projects ensuring high quality standards and timely completion
Communicate and provide post-purchase order support when required
Handle limited inventory management activities
Assist with expense reports and travel authorization processing
Other duties as assigned by Purchasing Department Buyers, Supervisor, Manager, or Regional Procurement Manager
Education and Experience :
High School Diploma or GED is required
2 Years of College or trade school, Preferred
1-2 Years of Procurement Experience, Preferred
Job Knowledge, Skills and Abilities :
Ability to work with changing demands in a fast paced environment
Strong interpersonal communication skills (written and verbal) with the ability to effectively communicate at all levels within the organization
Excellent time management, prioritization and organizational skills
Computer literate, proficient in Microsoft office (word, excel, PowerPoint, and outlook). ERP software experience is desirable.
Self-motivated and pro-active with the ability to work independently and prioritize daily tasks
Team player with the ability to work effectively with other departments on special projects as assigned
