The JUNIOR ACCOUNTANT ensures the accuracy of entries to ledger accounts and reconciles subsidiary ledger accounts to the general ledger. Assists in maintaining financial records and ensuring that financial transactions are properly recorded. Being a JUNIOR ACCOUNTANT assists in analyzing current costs, revenues, financial commitments, and obligations incurred to predict future revenues and expenses. Compiles financial data to aid more senior accountants in the preparation of balance sheets, profit and loss statements and other financial reports. In addition, JUNIOR ACCOUNTANT requires a bachelor's degree. May require eligibility to sit for CPA exam. Typically reports to a supervisor or manager. Job Summary
We are seeking a highly organized and proactive Office Coordinator to join our team. The ideal candidate will be responsible for maintaining a smooth and productive work environment, supporting team members, and ensuring positive interactions with Members and visitors.
Assist Junior League of Lafayette (JLL) with administrative tasks including but not limited to: office mailings, telephone coverage, processing walk-in and telephone cookbook orders, assisting with membership software, maintaining Headquarters organization and cleanliness, ordering supplies, and simple document preparation and duplication. Staff Junior League of Lafayette’s reception desk. Assist the President, President-Elect, and Executive Vice President with requested tasks and/or projects. Assist the Headquarters Manager and Accounting Manager with requested tasks and or projects.
Key Responsibilities
1. Administrative Support:
a. Answer and direct phone calls, take messages, and handle general inquiries.
b. Prepare and edit documents, reports, and presentations.
c. Manage correspondence by sorting, distributing, and responding to incoming mail and emails.
2. Office Organization:
a. Maintain and organize office files, records, and databases.
b. Order and restock office supplies, ensuring availability of materials.
c. Keep office areas tidy and organized, handling light office maintenance as needed.
3. Scheduling and Coordination:
a. Schedule meetings at Headquarters, appointments, and coordinate room bookings.
b. Assist in the planning and coordination of company events and meetings.
c. Maintain the office calendar and update team members of upcoming deadlines.
4. Customer Service:
a. Greet visitors and provide a positive and welcoming first impression.
b. Assist clients, customers, and vendors by providing information and directing them to the appropriate team members.
5. Data Entry and Record-Keeping:
a. Input, update, and maintain accurate records in office databases and systems.
b. Assist with document management, including scanning, filing, and retrieving documents. c. Utilize mail merge
6. Access Control Administration
a. Assign and track key fobs issuance, return, and inventory.
b. Maintain detailed log of issued, returned, or lost keys and update log to reflect changes. c. Update software programs on League computers to ensure optimal computer performance.
