Lease Administrator prepares leases/subleases and other related documents. Maintains and updates the lease activities in a database. Being a Lease Administrator maintains relationship with the landlords and occupants. Ensures accuracy of documents and financial records. Additionally, Lease Administrator requires a bachelor's degree. Typically reports to a manager or head of a unit/department. The Lease Administrator gains exposure to some of the complex tasks within the job function. Occasionally directed in several aspects of the work.   • The UCLA Real Estate Lease Administrator provides administrative support needed to maintain UCLA's commercial lease accounts and accounting related functions. Manage assigned lease portfolio and perform lease abstraction of new leases, amendments and other lease accounting related documents. Provide customer service, interacting with internal campus contacts and external lease representatives with professional communication on matters related to account and lease administration with minimal supervision. Major duties include reviewing, tracking and administering lease and construction documents, receiving and reconciling lease invoices and statements, verifying charges as appropriate within the terms of the lease, and processing invoices for timely payments in accordance with University and department policies and procedures. Preparing and reviewing the monthly rent rolls for submittal to accounting. Track and administer Subleases, Parking, License and Facility Use Agreements. Manage Real Estate databases and spreadsheets for accuracy, and prepares detailed lease reports as requested. Provide support to all program areas in the Real Estate office. Perform general administrative duties of the office on a regular basis and assist on special projects as requested.

    Knowledge of University's Campus accounting system and UCLA Medical Center Financial Services accounting procedures including transfer of funds, interdepartmental recharge, BruinBuy, check request, and on-line systems.

    Education and experience equivalent to a 4 year college degree or equivalent combination of education and experience.

    In depth understanding of lease administration and accounting functions and services.

    Demonstrated proficiency with MRI Horizon real estate database software.
