      Job Title: Executive Assistant – General Counsel

      Work Year: 12 Months
      Salary Schedule: TSS – 260 days


      SUMMARY: Preforms a variety of specialized, complex, and confidential administrative support duties for the General Counsel requiring knowledge of specialized practices, procedures, and terminology related to a law office. Requires a high level of confidentiality, professionalism, and dedication to customer service.

      ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty/function satisfactorily.       Job Tasks Descriptions

      • Provides administrative support to General Counsel including scheduling appointments, finalizing letters and documents, collecting and organizing documents, open records requests, ordering supplies and equipment, file management, and other projects assigned.


      • Answers inquiries, provides assistance, and directs to General Counsel or other departments in routine, non-routine and urgent matters using appropriate initiative on a wide range of topics, including application of district policies, legal documents such as juvenile records, subpoenas, and court orders, and locating legal training materials.


      • In consultation with General Counsel, maintains truancy case files, including file management, schedule mediations, arrange for service of process, prepare forms for filing with the court and interact with court clerk.


      • Proofreads and edits correspondence, reports, and other related materials for accuracy, completeness, and compliance with established procedures and standards.


      • Indexes, files, locates, and researches correspondence, legal opinions, court decisions, and other related documents.


      • Assists in the preparation of agendas, reports, correspondence, presentations, and other materials.


      • Researches and summarizes data for reports or meetings.


      • Compiles and assembles various legal materials from files and other sources for the General Counsel’s use.


      • Maintains department budget, including paying invoices and reconciling expenditures.


      • Screens mail, telephone calls, and visitors to determine the nature and urgency of business and exercises judgment in referring them to the General Counsel or appropriate staff.


      • Maintains a calendar of office activities, court dates, meetings, or other events.


      • Provides backup assistance as needed for the Superintendent’s office.


      • Performs other duties as assigned


      EDUCATION AND RELATED WORK EXPERIENCE:
      Associates degree, or equivalent with an emphasis in legal office assisting, legal secretary or a closely related field preferred.
      3-5 years’ experience performing a variety of legal administrative assistance or legal secretarial duties preferred.
      Equivalent combination of education and experience acceptable.

      LICENSES, REGISTRATIONS or CERTIFICATIONS:
      Criminal background check required for hire.

      TECHNICAL SKILLS, KNOWLEDGE, & ABILITIES:
      Advanced oral and written communication skills
      Analytical skills required; ability to review and interpret technical information and draw conclusions
      Knowledge of legal procedures and terminology
      Knowledge of forms and documents used in legal clerical work
      Knowledge of legal procedures and practices involved in composing, processing, and filing a variety of legal documents
      Knowledge of standard legal references and their contents
      Knowledge of proper English usage, spelling, grammar, and punctuation.
      Knowledge of principles and procedures of record storage, control, retrieval and management
      Ability to present (via email, in person, phone, etc.) information to appropriate parties
      Critical thinking and problem-solving skills
      Ability to meet schedules and timelines
      Ability to schedule meetings, activities, or trainings as they relate to the job
      Ability to use pertinent software applications, manage and maintain accurate records, and plan and manage projects
      Ability to maintain confidentiality in all aspects of the job
      Ability to manage multiple tasks and priorities
      Ability to perform complex legal clerical work
      Ability to compose, edit, and format complex correspondence and reports
      Ability to understand, interpret, and apply pertinent laws, rules, policies, procedures, and directions
      Ability and willingness to adhere to attendance expectations and to follow district procedures for absence reporting
      Ability to promote and follow Board of Trustees policies, District policies, and building and department procedures
      Ability to communicate, interact, and work effectively and cooperatively with all people including those from diverse ethnic and educational backgrounds
      Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate/required safety equipment, and report unsafe conditions to the appropriate administrator

      MATERIALS AND EQUIPMENT OPERATING KNOWLEDGE:
      Operating knowledge of and experience with personal computers and peripherals
      Operating knowledge of and experience with typical office equipment, such as telephones, copier, fax machine, etc.
      Operating knowledge of and experience with office productivity programs, such as Microsoft Office Suite, E-mail, etc.
      Operating knowledge of district information technology systems and department-specific software and equipment required within 3 months after entering position
