Position Summary:
Austill, Lewis, Pipkin & Maddox, PC seeks a Legal Assistant to join our Birmingham, AL office. This position supports the delivery of quality legal services to clients by providing administrative assistance to attorneys and paralegals, and performing specialized tasks pertaining to employment, civil rights, business, construction, insurance defense litigation, and workers' compensation matters.
Duties & Responsibilities:
- Review and analyze all correspondence and court filings for and to ensure all deadlines, appointments, etc. are calendared properly.
- Maintain an accurate understanding of State and Federal Rules' deadlines for and to ensure same are properly calendared for pleadings, discovery, objections, etc.
- Proofread documents for grammatical, typographical, or spelling errors, and completeness before distribution or filing.
- Converting Word documents to pdf for distribution and/or electronic filing with the Courts.
- E-filing pleadings, notices of discovery, motions, and other submissions with Alabama's and the Federal Courts' electronic filing systems.
- Transcribe dictation.
- Maintain and organize physical and electronic files. Follow the standard naming and profiling conventions when scanning, emailing, and saving documents to the document management system.
- Draft standard pleadings, correspondence, memoranda, and other documents.
- Exhibit good judgment and organizational skills to receive, record and disseminate all information on behalf of the clients and assigned attorneys (e.g., mail, interoffice mail, email, etc.)
- Regularly anticipate the needs of assigned attorneys to promote timekeeper efficiencies (i.e., draft correspondence, gather and prepare materials for meetings in advance).
- Work collaboratively with paralegal and other staff to prepare notebooks and exhibits for attorneys' use at depositions, hearings, and trial.
- Routinely review and follow-up on client deadlines and calendar appointments.
- Coordinate and make necessary arrangements for meetings (i.e., depositions, mediations, interviews, and vendor and facility reservations).
- Consistently provide friendly and helpful telephone support.
- Manage the conflict check, client intake, and file opening process for new matters.
- Maintain attorney-specific case lists, charts, and status of cases and outcomes.
- Professionally communicate with clients, opposing counsel, vendors, and firm personnel.
- Complete assigned tasks when expected while managing multiple assignments and/or deadlines.
- Review and follow-up on client deadlines, emails, and calendar appointments.
- Develop, implement, and maintain systems to promote organization and efficiency.
Skills & Qualifications:
- 2 years experience as a legal secretary or paralegal in a law firm environment for civil litigation
- 3 years experience in the use of MS Office (Word, Excel, PowerPoint, and Outlook),
- Strong proficiency in Document Management Systems, Time Entry, e-Filing and database software (experience with Juris and Trialworks a bonus)
- Strong organizational skills required, including timely electronic filing, paper filing, plan book updates, and more
- Typing speed in excess of 70 WPM.
- 2 years experience with court electronic filing systems (State and Federal)
- Experience transcribing dictation
