We are seeking a dedicated and experienced Mailroom Operations Manager to lead our mail outsourcing services and provide operational oversight and quality management. The Mailroom Supervisor will play a crucial role in managing the day-to-day activities of the mailroom, ensuring efficient mail processing, adherence to USPS regulations, and maintaining a high level of service quality. The ideal candidate will bring strong leadership, organizational, and communication skills to effectively supervise the mailroom team.

Position: Mailroom Operations Manager

Location: San Antonio, TX (JBSA Lackland)

Key Responsibilities:

• Supervise and manage all aspects of mailroom operations, including mail processing, file management, and messenger activities.
• Exercise independent, competent judgment in addressing day-to-day operational matters to ensure smooth workflow and optimal efficiency.
• Ensure compliance with current USPS postal regulations and maintain an up-to-date understanding of USPS mail classes (first, second, third, bulk, etc.).
• Work to operate mail centers and all mailroom operations IAW Military Postal Service Procedures Manual (MPM).
• Manage operations of receiving, processing, distributing, and dispatching all official mail/parcels for all base-supported units
• Dispatch coordination with private carriers such as UPS, FedEx, and USPS.
• Utilize personal computer skills to effectively manage data collection, generate statistical and workload reports, and optimize operational processes.
• Maintain accurate records of incoming and outgoing mail, packages, and deliveries.
• Lead and train mailroom staff to uphold service standards, operational protocols, and safety procedures.
• Communicate effectively with team members, colleagues, and clients to provide updates, address concerns, and maintain open lines of communication.
• Collect and interpret key data, identify trends, and make informed decisions to enhance mailroom efficiency.
• Prepare regular reports for upper management detailing mailroom performance, metrics, and areas for improvement.
• Foster a positive work culture that promotes teamwork, accountability, and continuous improvement.

Qualifications:

• Have a minimum of five (5) years of experience supervising mail, file, and messenger activities.
• Have in-depth knowledge of current USPS postal regulations and of various USPS mail classes.
• Have familiarity with Military Postal Service Procedures Manual (MPM).
• Have a valid driver's license and experience in operating contractor-owned vehicles for mail deliveries.
• Have a SECRET clearance or have necessary qualifications to obtain facility security clearance.
• Be proficient in using personal computers and software applications for data collection, report generation, and operational optimization.
