    Job Summary


    The GCSU Foundation is a 501(c)(3) organization that exists to support the mission, vision, and values of Georgia College & State University. On behalf of the University, the GCSU Foundation provides coordination and implementation of fundraising efforts across campus. The Foundation receives and manages all gifts given to GCSU and upholds the highest standards of fiscal responsibility and investment management. These efforts are conducted in relation to the donors' expressed wishes, as well as the instructional, scholarship and public service pursuits of the University. The Manager of Gift Records is responsible for the successful operations of the Gift Records area of the GCSU Foundation and GCSU Alumni Association and is an integral part of the advancement team. This position works closely with all members of the data, fundraising and financial team.

    Responsibilities


    Gift Management - 40
    Gift, Pledge, Gift in Kind, Stock Gift Accounting: complete all processing relating to pledges, cash, non-cash, matching gifts, payroll deductions, online giving, event software giving, ensuring IRS compliance with recording of donor transactions to reporting to federal and state agencies and banks. Ensuring compliance with IRS, State of Georgia, FASB accounting, GASB accounting, Gift Accounting records, GCSU Foundation, and GCSU laws, regulations, and policies.

    Gift Receipting - 10
    Production of IRS-compliant gift receipts for gifts as well as fundraising events, ensuring gift receipts adhere to IRS requirements, ensuring adequate documentation supports gift as compared to donor benefit received.

    Fund/Project Management - 25
    Coordinate New Funds with VP, Asst. VP, Directors of Development, and Donors. Work with GCSU Foundation staff and donors to establish new donor-restricted funds and gift agreements/fund stipulations consistent with GCSU Foundation and its policies and donor intent. Prepare new GCSU Foundation fund and gift agreements beginning with templates and carefully craft these legal documents with VP, Asst. VP, DOD, and Donor agreement.
    Prepare and maintain all documentation pertaining to each of the GCSU Foundation fund's fiscal and proprietary authority. Communicate with Advancement Services any modifications to fund fiscal and proprietary officers. Maintenance, production, and timely distribution of accurate
    reporting such as donor reports, pledge receivables, merchant services fees.

    Fiscal/Data Management - 15
    Oversee and maintain integrity for alumni, donor, and fund files, both electronic and physical files used for fundraising, alumni, and GCSU efforts. Coordinate with the Database Manager at GCSU Foundation to work in tandem on following GCSU Foundation policies. Provide backup support for Raiser's Edge database extractions, queries, and reports when the Database manager is unavailable. Reconcile Raiser's Edge CRM system with Financial Edge financial reporting software for all funds and all revenue accounts on a monthly basis.

    Supervision - 10
    Supervise Gift Records Area: Approve all processing and provide supervision for student worker/graduate assistant in the area, and ensuring accurate processing of all cash and
    non-cash gifts and payments, and maintaining integrity of GCSU Foundation and GCSU
    Alumni Association donor and alumni database. Resolve complex issues related to processing.

    Required Qualifications


    Educational Requirements
    Bachelor's degree

    Required Experience
    Minimum Acceptable Qualifications: Bachelor's degree with a major in Accountancy or a related field AND two (2) years of professional level accounting experience. OR Possession of a current registration as a Certified Public Accountant, Certified Management Accountant, or a valid License to practice Public Accounting. OR Major in Business or a related field.

    Preferred Qualifications


    Preferred Educational Qualifications
    Preferred Qualifications: Previous experience with Blackbaud's Raiser's Edge strongly preferred.

    Preferred Experience
    Experience in accounting environment or detailed recordkeeping in a non-profit environment similar to the GCSU Foundation with intricacies and various regulations requiring strict compliance. Experience in detailed reconciliation and problem-solving required. Excellent supervisory skills including frequent training due to student turnover. Customer service orientation. Proficiency with Microsoft Suite (e.g., Word, excel, Outlook, Teams, Access). Previous experience with Blackbaud's Raiser's Edge and Financial Edge (Database and NXT) strongly preferred.

    Knowledge, Skills, & Abilities


    ABILITIES
    Ability to communicate effectively, both orally and in writing.

    KNOWLEDGE
    Knowledge of finance, accounting, budgeting, and cost control procedures.
    Working knowledge of MS Excel spreadsheet software to quantify and illustrate routine financial reports, statements, and/or projections. Knowledge of applicable local, state, and federal regulations, and generally accepted accounting principles.

    Knowledge of accepted accounting principles and gift processing procedures. General knowledge of HR policies.

Analytical and problem-solving skills and acute attention to detail. Must possess strong skills in managing multiple competing priorities with expedited turn-around time.
