Overview:
We are seeking an experienced Executive / Project Administrator to provide high-level administrative support to our construction management team. This role is responsible for managing the day-to-day activities of our office, ensuring the smooth operation of our organization, and maintaining a professional and organized environment.
Duties:
- Provide executive and project administrative support to owner, including preparing and editing documents, managing calendars, and coordinating travel arrangements.
- Manage the office, including supervising administrative staff, coordinating office events, and ensuring the office is running efficiently.
- Assist with data entry and maintain accurate records and databases.
- Utilize Microsoft Office to manage email, calendar, and document management.
- Utilize Quickbooks online to enter bills, reconcile accounts and run payroll
- Plan and coordinate meetings, conferences, and other events, including arranging for audio-visual equipment, catering, and other logistics.
- Serve as a personal assistant to the executive team, handling tasks such as scheduling appointments, making travel arrangements, and managing their daily routines.
- Use DocuSign to manage and execute electronic signatures.
- Provide exceptional customer service to internal and external clients, ensuring prompt and courteous responses to inquiries.
- Operate phone systems, manage incoming and outgoing calls, and direct calls to the appropriate person.
Qualifications:
- High school diploma or equivalent required; associate's or bachelor's degree in a related field preferred.
- Minimum of 3-5 years of experience in an executive administrative support role.
- Proven experience in data entry and office management.
- Proficiency in Quickbooks, Microsoft Office, DocuSign and Procore
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication and customer service skills.
- Ability to work independently and as part of a team.
- Strong attention to detail and ability to maintain confidentiality and discretion.
- Experience with phone systems and event planning is an asset.

Pay: $40,000.00 - $60,000.00 per year
