    Position Summary

    The Marketing Project Coordinator position requires a unique blend of both technical and creative skills necessary to successfully direct the implementation of Wellby's marketing and advertising campaigns. The Marketing Project Coordinator will also play a pivotal role in supporting our marketing and communications team's strategic planning and execution. This role will involve managing project timelines, communicating project updates, and tracking project performance metrics to ensure successful outcomes.

    Principle Duties And Responsibilities

    • Coordinates marketing projects from inception to completion, ensuring alignment with Wellby’s business goals and purpose to help people prosper.
    • Develops and implements marketing project schedules, tracks progress, and ensures the timely completion of initiatives.
    • Collaborates with other Wellby departments to integrate their business needs into marketing campaign outcomes.
    • Reports on campaign results, providing insights & recommendations to improve future performance and ensure cost-effectiveness.
    • Engages directly in the creation and production of marketing materials, helping to assure they demonstrate Wellby’s brand and quality standards.
    • Collaborate with the marketing team to develop project plans and timelines.
    • Coordinate project tasks and deadlines with internal and external stakeholders.
    • Monitor project progress and address any issues that may arise to ensure timely completion.
    • Collaborate with various departments to align marketing initiatives with business goals.
    • Expertise in planning, organizing, and managing resources to bring about the successful completion of specific project goals and objectives.
    • Performs other duties as assigned.

    Knowledge, Skills, And Abilities (KSA)

    • Knowledge of Wellby’s organizational functions, and general operating policies & procedures.
    • Knowledge of secretarial practices and procedures, business English, spelling, and punctuation.
    • Knowledge of personal computer, utilizing Microsoft Office Suite.
    • Knowledge of marketing software such as CRM systems, email marketing tools, and analytics platforms.
    • Skilled in coordinating with multiple departments to achieve marketing objectives.
    • Skilled in giving presentations and the ability to persuade and inform through communication.
    • Skilled in operating computer equipment and general office machines such as personal computers, copiers, projection equipment, audio/video, Microsoft Teams, Zoom Video Communications, and adding machines.
    • Ability to thrive in a fast-paced team environment and manage time well.
    • Ability to work effectively both independently and as part of a team.
    • Ability to work on tight deadlines.
    • Ability to manage complex schedules and meet deadlines.
    • Ability to analyze market trends, campaign performance, and other data to derive actionable insights.
    • Ability to communicate clearly and concisely, orally and in writing.
    • Ability to motivate others and to work in a large cross-functional team dynamic.
    • Ability to efficiently understand and follow oral and written instructions, perform routine duties without close supervision, and establish and maintain effective working relationships with other team members.
    • Ability to exercise independent judgment.

    Supervisory Responsibilities

    • Team member does not have any supervisory responsibilities.

    Complexity & Scope of Work

    • The team member performs a number of routine and generally related tasks without supervisory direction.
    • The team member may make decisions regarding unusual circumstances on occasion.
    • Tasks may occasionally have to be coordinated, integrated, and/or prioritized.
    • Courses of action are determined by established procedures and/or the Manager of Marketing & Communications
    • The team member’s work is reviewed periodically for accuracy, completion, and compliance with the policies and procedures.
    • The team member uses independent judgment in making decisions.

    Physical Demands & Work Environment

    • The physical demands and work environment characteristics described here represent those that must be met by a team member to successfully perform the essential functions of this position. Reasonable accommodations may enable individuals with disabilities to perform essential functions.
    • To perform this job successfully, the team member is frequently required to remain in a stationary position 50% of the time. Daily movements include sitting; standing, reaching, and grasping, operating computers and other office equipment, moving about the office; and attending possible onsite and offsite meetings. The team member must be able to exchange information, in person, in writing, and via telephone. Some degree of stress results from contact with management, and other team members.
    • The ability to observe details at close range (within a few feet of the observer).
    • Must be able to occasionally lift items weighing up to 25 pounds across the office and load them onto shelves for various needs.
    • The noise level in the work environment is usually moderate.
    • Work involves the typical risks and discomforts associated with an office environment but is usually in an area that is adequately cooled, heated, lighted, and ventilated.

    Minimum Qualifications

    • High school diploma or equivalent required.
    • Bachelor’s degree in Business, Marketing, Information Systems, Project Management, or related field preferred.
    • Minimum one (1) to three (3) years of marketing production or project management experience.
    • Professional training or certifications in marketing, development, or project management will be viewed favorably.
    • Experience building and influencing relationships at all levels.
    • Experience with managing the scope, schedule, cost, quality, and risk of a project or undertaking.
    • Exceptional verbal, written, and presentation skills.
    • Comfortable with leading and inspiring dialogue including healthy challenge.
    • Bondable
