Since its inception in 1980, Hudson Behavioral Health has been providing cutting edge treatment for Substance Use and other co-occurring disorders. Our services include Detoxification, Inpatient Rehabilitation, Partial Hospitalization, Treatment, 3.1 Housing and Outpatient Mental Health.
We are looking for an experienced Full Time Office Manager to join our team!
ADMINISTRATIVE / OFFICE MANAGEMENT Responsibilities:

Ensure all functions of the office are implemented and maintained in an efficient manner.

Serve as the point person for all office functions including scheduling, patient care, maintenance, supplies, billing, errands, etc.

Greet and assist all visitors and co-workers pleasantly and with respect.

Create new patient files, maintain, and organize filing system, and purge files as needed, according to company policies.

Provide verifications of treatment, as needed.
-
Schedule and participate in meetings and/or document meeting minutes, as needed.

Complete and assist with various month end reporting as needed.
-
Research and advise supervisor on any policy and procedure issues or updates needed.
-
Conduct audits of programs and complete reports with follow-up to ensure continued regulatory compliance, as needed.

Assist in preparation for accreditation, licensure, and site visits.
SCHEDULING / ADMISSIONS Responsibilities:

Answer phone calls and schedule appointments to maintain a full calendar and census.

Assist callers with questions and general support and complete admissions screenings for potential new patients.

Arrange for patient transportation, as needed.
-
Assist with verifying admissions eligibility to include legal and sex offender registry searches, insurance verifications, ASAM criteria verifications, etc.

Set up initial patients with a unique identifying number and in the provided electronic health records system.

Obtain approval and signatures from patients for authorizations and consents.
FINANCIAL / BILLING Responsibilities – with direction and oversight from the A/R Manager and the Administrative Office. All changes to financial procedures must be approved by the CFO to ensure segregation of duties, as required by our auditors.
1. Maintain a daily census of patients, an admissions log, and ensure documentation is completed in the
electronic health record.
2. Coordinate and maintain billing functions, using the established electronic health records system.
3. Coordinate, maintain, and follow up on collection of all payments and A/R, using the established
electronic health records system.
4. Represent Hudson in court proceedings against non-paying client, if requested.
5. Collect and post payments and prepare cash for deposits to be made by the Accounting Department.
6. Complete insurance verifications daily for current patients.
7. Ensure current pay rates are correct and available in the electronic health records.
Other Duties:

May be assigned miscellaneous duties by supervisor.

Provide short-term support, by filling in for any roles needed, due to staff absence, if needed.

Must be able to work on-site 40 hours per week and be able to meet with supervisor, staff, and patients frequently.

Must be able to travel to any Hudson Health facility as needed.

Must be in generally good health and possess a negative TB screen and pass urine drug screening.

Must be able to work in a healthcare environment and assist patients in instances of infection control isolation, with provided personal protective equipment (PPE). This is a standard for all HBH staff.

Must be able to proficiently use office equipment such as computers, telephones, fax machines, copy machines, etc.
-
Must be able to stand, sit, and use the computer for prolonged periods of time.
-
Must be able to lift up to 50 pounds to accommodate files, file boxes, cases of paper, etc.
-
The employee is required to walk, climb steps, and use their hands to operate a standard computer keyboard and standard office equipment.

Vision requirements include close vision, distance vision, depth perception and the ability to adjust focus.

Must be able to clearly communicate with patients, staff and the public, verbally and in written form.

Must be able to work with a high level of ethical conduct and ensure confidentiality and strict boundaries are maintained between patients and staff.

Must assume and keep all information handled secure and confidential – not to be shared with anyone other than supervisors.

have a high school diploma or GED.

have the ability to work well with others in a team environment.

have an attention to detail, problem solving skills, and the ability to analyze and report on findings.

have a valid driver’s license, with a good driving record.

have ability to read, write, speak, understand and communicate in English

have proficiency in modern office procedures, including MS Office, filing systems, etc.

have ability to learn and use computer applications in use at Hudson for word processing, creating spreadsheets, calendars, and emails, etc.

have knowledge of HIPAA and other confidentiality requirements as well as COMAR and all other regulations, policies, and procedures governing HBH.
