    Description

    Job Summary: The Infusion Coordinator is responsible for the coordination and scheduling of infusion visits, submitting and tracking patient benefits and authorizations, timely intake of new referrals, and procurement and management of infusion supplies and drug inventory.

    Job Duties:

    • Serves as primary contact for all new patient referrals and ensures that all intake forms are complete and accurate.
    • Oversees patient appointments, registration, physician referrals, medical records, and insurance coverage of infusion care.
    • Investigates benefits and obtains prior-authorizations and reauthorizations for all patient care provided in the Infusion Center using treatment eligibility per FDA guidelines to ensure insurance coverage of treatment.
    • Notifies patients/family regarding insurance coverage and payment responsibilities. Collects patient responsibility payments per policy guidelines.
    • Manages pharmacy inventory to ensure timely ordering and receiving of IV medications and infusion supplies. Ensure efficient use of drug inventory to reduce spoilage and completes spoilage replacement program documentation as necessary.
    • Maintain secure temperature-controlled storage of IV medications and be available to implement contingency plans if necessary.
    • Interacts with patients and physicians to answer questions related to the delivery of infusion services. Oversees staff/patient relations and refers information to Infusion Nurse Manager as necessary.
    • Schedules according to availability of staff, chairs, and inventory. Reviews schedule proactively to identify problems and works with leadership team to modify templates as needed.
    • Educates patients on applications to drug manufacturer financial assistance programs when appropriate.
    • Reviews and documents encounter appropriately in infusion care system and EMR.
    • Maintains confidentiality of patient and proprietary information.
    • Other duties as assigned.
    • Abides by all HIPAA regulations and procedures.

    Qualifications


    Required Skills/Abilities

    • In-depth knowledge of medical practices, terminology, HIPAA regulations, office protocols, and authorization processes.
    • Proficient in establishing relationships, communicating effectively, and maintaining accuracy and attention to detail in patient data.
    • Demonstrated skills in diplomacy, problem-solving, initiative, and decision-making, with strong time management and multitasking capabilities.
    • Ability to work collaboratively in a team-oriented environment focused on patient satisfaction, adapt to pressure and change, and project a professional image.
    • Competent in multitasking, articulating information clearly, applying policies, planning and completing tasks efficiently, and interacting effectively across diverse populations.
    • Proficient with computer systems and capable of engaging with patients and families while working cooperatively within the medical practice.
    • Knowledge of prior authorization processes.

    Education and Experience:

    • Bachelor’s Degree or Medical-related License or Certification
    • Certified Pharmacy Technician or Registered Nurse is preferred.
    • Experience with clinic-based Infusion services preferred.

    Physical Requirements

    • Involves sitting approximately 80 percent of the day, walking, or standing the remainder with light lifting (10-30 lbs.) occasionally required. Occasional stress from multitasking and level of responsibility.
