Digestive Care Center is looking for an Office Appointment Scheduler to schedule clinic appointments with patients, referring providers/their staff members and other facilities as requested. The Appointment Scheduler is also responsible for sending e-letters (faxed via electronic health record) to referring providers acknowledging a referral has been received by DCC and/or an appointment has been scheduled and sharing the date/time. They also provide assistance for Front Desk staff as required, processes no show appointments, cancellations, and rescheduling of office appointments.What You Need for this Position:
- High school Diploma or equivalent required.
- Medical office experience preferred.
- Ability to communicate in a polite, calm, and professional manner.
What You Will Be Doing:- Efficiently schedules office appointments as requested.
- Accommodates physician and nurse practitioner scheduling preferences.
- Accurately enters data into all electronic software applications in use by DCC.
- Promptly and accurately removes/moves scheduled appointments in scheduling software when cancelled, patient fails to show for an appointment or reschedules to keep schedule current at all times.
- Processes incoming faxes during downtime in order to manage referral requests within 24 hours of receipt at DCC.
- Responds to incoming office appointment requests as calls/referrals are received.
- Returns calls from voice mail promptly.
- Promptly handles all tasks and/or messages received.
- Schedules patients appropriately in order for patient to receive maximum insurance coverage & reimbursement.
- Moves patients to bump list when provider schedule changes are necessary. Works all bumped appointment and waiting lists during downtime in order to provide excellent patient service and keep provider schedules at 100% capacity.
- Responds to requests from DCC providers, patients/their family members, and referring providers and their staff in a timely manner.
- Prints schedule for DCC providers as requested.
