Duties & Responsibilities: (Essential Functions of Position, Major Responsibilities, Summary of Key Duties, Special Assignments, Relationships)
- Handling, recording, documenting all transcripts for current and prior students.
- Enter updates on student transcripts utilizing Campus software, documenting, tracking and updating repeat course grades
- Build a transcript of all new students entering high school plus update records of returning students to high school
- Send records for student withdrawals/transfers
- Translating transcripts and entering information into Campus program
- Resolve course credit issues.
- Work closely with the counselors on verifying accuracy of transcript information
- Send Official Transcript records from guidance office to Colleges when requested by student/parent/Colleges (following correct procedures)
- Run all transcripts for the end of the year for students.
- Make a master senior list for graduation
- Ad hoc reporting
- Assist with Start-up/shut down, securing of machines and records on a regular basis.
- Help with the Registration process.
- Run GPA's each term.
- Assist offices with large mass mailings and report card/schedule distribution.
- Share summer coverage of Main Office switchboard.
- Point person on distribution of schedules, answering the telephones and waiting on customers at the counter, help with large mailings
- Assign, deactivate and rotate lockers assignments.
- Other duties as assigned by counselors, head secretary and Principal.
- Assist all other secretaries in the building when needed.
- Reports to Building Principal, Counselors.

- Physical Requirements of Position:
- Ability to routinely lift/carry office supplies and printed materials weighing up to 50 lbs.
- Ability to communicate so others will be able to clearly understand a normal conversation in person and/or on the telephone
- Ability to operate computer, calculator, copy machine, telephone, and other office equipment with dexterity and in a safe and efficient manner

- Must have a high school diploma or GED
- Experience with Excel, Word, Outlook, Publisher and other software programs
- Ability to learn Infinite Campus
- Must be an office team member in an effective, positive way and have good communication skills, both oral and written
- Ability to provide public relations and effective communications with staff, parents and community in a friendly and positive manner
- Maintain strict confidentiality (written or spoken) regarding students and staff
- Ability to take initiative and handle multi-task assignments with constant interruptions, ability to work well under pressure, establish priorities and meet deadlines while maintaining a calm manner during stressful situations. Must have good organizational skills and dress in a professional manner
- Must be self-motivated and able to work independently, excellent attendance and work history desired
- Excellent attendance required to be successful in this position.
- Successful candidate must possess strong interpersonal skills with a proven record of building rapport with culturally diverse students to ensure each child reaches his/her full potential.
