The Personal Assistant to CEO reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the executive for consideration. Provides administrative support in a variety of functions to the Chief Executive Officer that are focused on increasing the efficiency of the executive. Being a Personal Assistant to CEO responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the executive. Summarizes, prioritizes, and researches information into a concise and usable format for the executive to review. In addition, Personal Assistant to CEO creates or directs creation of reports, charts, budgets and other presentation materials for the executive. Coordinates high level projects, travel arrangements, and meetings. May plan and schedule work and direct other staff to deliver support. Has a broad knowledge and understanding of the company's operations and business objectives. Requires an associate's degree or its equivalent. Typically reports to the CEO. Job Summary:
The Personal Assistant to the CEO and leadership team will play a vital role in supporting the CEO with administrative tasks, office management, scheduling, correspondence, and other professional needs. This position requires a highly organized individual who can navigate a fast-paced work environment and handle sensitive information with discretion.
Key Responsibilities:
Administrative Support:
Manage the CEO’s calendar, schedule meetings, and coordinate appointments ensuring optimal time management.
Handle correspondence and communications on behalf of the CEO, both internally and externally.
Assist in the preparation and organization of documents and presentations for meetings.
Liaison:
Act as a liaison between the CEO and other staff members, as well as external stakeholders.
Ensure that the CEO is well-prepared for meetings and engagements.
Project Management:
Assist in managing projects, ensuring that deadlines are met and stakeholders are informed of progress.
Coordinate with various departments within the company to gather information or data as required.
Personal Assistance:
Handle personal tasks and errands for the CEO as requested.
Assist with travel arrangements and event planning as needed.
Miscellaneous:
Perform other duties as assigned, and assist with special projects as needed.
Qualifications:
Associates or Bachelors Degree or a related field preferred.
2 years experience.
Strong organizational, multitasking, and time-management skills.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite and other productivity software.
