Job Summary:

The Production Support Specialist performs a range of duties to aid and optimize the production process. They play an active role in pre-production, verifying all project documentation is complete. They work as a liaison communicating with the customer. They also serve in a quality assurance role.

Responsibilities:

• Prepares daily jobs packets for the subcontractors.
• Complete in-take of new projects, which includes reviewing scope of work to ensure all required information and documents are attached to the production packet. Obtain missing information from appropriate staff.
• Document Dataforma and enters scheduled jobs in Project Calendar.
• Calls the customers for Quality Assurance.
• Generate Work Orders as needed based on the outcome of the Quality Assurance calls.
• Review projects prior to sending to accounting department for invoicing to ensure scope of work was completed to its entirety. Follows up with the appropriate Production Dept. Supervisor if work was not completed or scheduled.
• Creates and sends Change Orders to customers, during and after project completion.
• Works in conjunction with the Residential Service Department, convert work orders into projects.
• Generates and reviews weekly status reports for W/O, generated through the production dept. & Projects. Provide updates to department managers as needed.
• Provides customers with project status updates.
• Completes project audits to ensure projects are completed in a timely fashion. Results are shared with Production Dept. Managers.
• Provide assistance to other departments, regarding production questions about past, current and future projects.
• Other Production related tasks as time allows and assistance is required.

Requirements:

• Must be capable of setting priorities and working under pressure.
• Manage multi-tasked job duties, from various departments.
• Ability to work well with customers and co-workers.
• Demonstrates knowledge of Microsoft Office (including Word and Outlook), Dataforma and Quick Books.

Physical Demands:

• Can tolerate working in a seated position.
• Ability to reach above shoulder heights or below the waist for filing documents.
• May occasionally lift up to 10 pounds.
• Able to walk up and down a minimum of two flights of steps.
