TITLE: Administrative Assistant
RESPONSIBLE TO: President & CEO
FLSA STATUS: Non-Exempt/ Hourly
POSITION PURPOSE AND OBJECTIVES:
Frazier History Museum is seeking a dynamic and highly organized individual to join our team as an Administrative Assistant to the President and CEO. This role is pivotal in providing comprehensive administrative support to the President and CEO, enabling them to focus on strategic initiatives and operational leadership. The ideal candidate will possess exceptional organizational skills, attention to detail, and a proactive approach to problem-solving. There is some flexibility with the number of hours worked per week, our range for this position is 30 to 40 hours per week.
Responsibilities
Executive Support: Provide high-level administrative support to the President and CEO, and his senior staff including managing schedules, arranging meetings, coordinating travel arrangements, and handling correspondence.
Communication Management: Serve as a primary point of contact for internal and external communications on behalf of the President and CEO. Screen and prioritize incoming emails, calls, and correspondence, ensuring timely responses and follow-up actions.
Calendar Management: Manage the President and CEO's calendar effectively, scheduling meetings, appointments, and events. Coordinate logistics for meetings, including preparing agendas, coordinating resources, and taking minutes when necessary.
Document Preparation: Assist in the preparation and editing of documents, presentations, and reports for internal and external distribution. Ensure accuracy, consistency, and adherence to organizational standards.
Administrative Support: Perform general administrative tasks, such as filing, data entry, ordering supplies, and maintaining office equipment. Handle confidential information with discretion and professionalism.
Project Coordination: Support the President and CEO in the execution of special projects, initiatives, and events. Coordinate with cross-functional teams to ensure project deadlines and objectives are met.
· Board Liaison: Facilitate communication between the President and CEO and the Board of Directors. Assist in the preparation of board meeting materials, agenda items, and follow-up actions.
· Relationship Management: Cultivate positive relationships with stakeholders, including staff, board members, donors, partners, and external contacts. Represent the President and CEO professionally in all interactions and lead Frazier’s staff activations.
Qualifications
· Bachelor’s degree in business administration, Communications, or related field preferred.
· Proven experience providing administrative support.
· Excellent communication skills, both verbal and written.
· Proficiency in Microsoft Office Suite (Word, Excell, PowerPoint, Outlook)
· Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
· Discretion and confidentiality in handling sensitive information.
· Ability to work independently with minimal supervision and as part of a team.
· Flexibility and adaptability in a fast-paced, dynamic environment.
· Passion for history and cultural heritage preferred.
