    Manager - Facilities

    Role:
    This position will ensure the coordination of the general building, and grounds maintenance, on-site custodial Jobs and staff, schedule and perform required
    property testing and inspections as well as ensure the safety and security of the building and janitorial duties. This includes coordinating the maintenance requests for the organization, maintenance of leases, and other legal documents for signature.

    The Facilities administrator will work with the Department Head to ensure the financial strength and stability of the facilities team (FT). Position requires an inventory of the fixed assets of the organization related to facilities. It will also require creating requests for proposals (RFP's) when major facilities assets are to be purchased or repetitive or major services or supplies for facilities are needed. The facilities administrator will also create reports as needed by the
    Accounting department and governmental bodies. Maybe required to work overtime or perform duties outside of normal business hours as needed.

    Essential Functions & Responsibilities:
    15% Performs general maintenance duties: including moving furniture, boxes, etc., set-up and tear- down for special events, building checks for security, ensure that the facility is fully operational with all utilities functioning properly.

    10% Performs routine preventative maintenance & Checks on building equipment such as generators, heating systems, electrical, and plumbing. This should include: Checking oil levels, greasing equipment, oiling motors, changing air filters, changing light bulbs, Ensure compliance with state and federal regulations, and assist with energy management, etc.

    25% Schedule and supervise maintenance repair work and assist with checking installation and servicing building equipment.

    5% Cover shift/duties for janitorial and maintenance staff when needed.

    5% Performs other job reated duties as assigned.

    10% Shovel/snowblow & salt/sand all walkways including a path to the buildings' generator as well as all building entrances/doorways as needed

    25% Responsible for tracking and maintaining inventory needed for operating including program supplies, cleaning supplies, tools, and materials.
    Receives invoices for work performed on-site, or materials ordered and accurately codes these expenses for approval. Maintain ongoing communication with contractors, clients, and team

    5% Schedule and oversee septic maintenance such as clean outs and septic flow issues

    Maintain water quality within the facilities by performing routine water tests and addressing any issues that may arise

    Performance Measurements:
    1. Tracking and maintaining inventory needed for operating including program supplies, cleaning supplies, tools and materials.
    Receiving invoices for work performed on site, or materials ordered and accurately coding these expenses for approval.

    2. Schedule, address and report all major utilities such as septic, well, or Fire alarm issues or inspections in a
    Timely manner

    3. Performance and accuracy of building and equipment maintenance duties including rough carpentry, light plumbing work, plastering and cement work, painting, and minor electrical repair.

    4. Communication/Interpersonal Skills: Is able to effectively communicate in order to meet organizational goals; shares information openly; relates well to all kinds of people; is able to speak well and write effectively.

    5. Problem Solving/Creativity: Identifies and analyzes problems; formulates alternative solutions; takes or recommends appropriate actions; follows up to ensure problems are resolved.

    6. Taking Responsibility: Completes assignments in a thorough, accurate, and timely manner that achieves expected outcomes. Exhibits concern for the goals and needs of the department and others that depend on services or work products; handles multiple responsibilities in an effective manner; uses work time productively.

    7. Use, support and enforce all policies including OSHA rules, health and safety regulations and guidelines, etc. Follows instructions regarding the use of chemicals and supplies.

    8. Reliable and Works well with minimal supervision

    Knowledge, Skills and Abilities:
    Experience 3-5 years of experience in facilities maintenance or equivalent related functions

    Education A high school education or GED.

    Interpersonal Skills Courtesy, tact, and diplomacy are essential elements of the job. Work involves much personal contact with others inside and/or outside the organization for purposes of giving or obtaining information, building relationships, or soliciting cooperation.

    Other Skills Excellent written, oral, and interpersonal communication skills are necessary.
    Knowledge of OSHA and other environmental regulations
    Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities management
    Must be a well organized, detail and customer (internal and external) oriented self-starter
    Strong procurement and negotiation skills

    Physical Able to lift 50 lbs.
