JOB ANNOUNCEMENT
SUMMARY:
Assist the Director of Programs and Policy, by leading the day-to-day management of programs and program staff for the Community Health Initiative of Orange County (CHI OC). As the direct supervisor of the team of Health Access Assisters/Specialists, this role will serve as their main source of support and development. This role coordinates enrollment efforts by overseeing staff qualifications, assignments, and scheduling while working collaboratively with internal staff as well as partner organizations such as schools, parent organizations, community-based organizations, churches, and local community/healthcare leadership. Additionally, this role maintains documentation for grant/contract tracking and reporting to monitor progress and provide decision support.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Direct supervision of program staff, which includes:
- Training of the Health Access Assisters/Specialists to ensure they are knowledgeable and current on all programs and policies
- Providing support, guidance, and conflict resolution for team members
- Ensuring team members have the tools and resources required to meet their responsibilities and goals
- Monitoring performance of staff activity and effectiveness, measured against goals
- Acting as the primary administrator for Health Access Assister/Specialist staff scheduling, coaching, and annual reviews
Grant management:
- Organize collected data by grant and present to the leadership team for analysis and decision support
Support Outreach, Enrollment, Retention, & Utilization (OERU) activities which includes:
- Collaborating with Outreach Coordinator to provide support and resource availability for Assister/Specialist staff.
- Serving as a liaison to external stakeholders in concert with Outreach Coordinator and Director of Policy and Programs
- Collaborate with the Outreach Coordinator in the on-going development of practices, systems and workflow to meet each partner’s needs based on area of interest, expertise, and alignment with program standards
- Represent CHI OC at community events and partner meetings
- Produce and coordinate training for Health Access Assisters to ensure that a high level of quality and knowledge is consistent for all team members
- Coordinate with Outreach Coordinator, as well as Project Coordinator, to facilitate outreach events
- Collaborate on the ongoing development of materials to support outreach and coordinate production and availability of materials
- Other duties as assigned
MINIMUM QUALIFICATIONS:
- Demonstrated ability to manage teams
- Two years of prior office administrative experience
- Working knowledge of and experience in community-based work
- Successfully completes a background check
PREFERRED POSITION QUALIFICATIONS:
- Associate degree, bachelor’s degree or equivalent combination of education and experience.

PHYSICAL JOB REQUIREMENTS:
- Sits for extended periods of time at a computer station or work desk. Stands and walks throughout the day.
- Uses hands and fingers to operate computers and office equipment for up to 8 hours or more each day
- Lifts up to 10 pounds regularly and 25 pounds occasionally
- Exposed to typical office environment conditions and noise levels
MENTAL AND REASONING REQUIREMENTS:
- Uses critical thinking skills to create documents and spreadsheets and interpret information furnished in written, oral, diagram, or schedule form
- Able to understand customer issues, create solutions and communicate those solutions to implement in a timely manner
- Uses decision-making skills and judgment to work independently to resolve problems; able to identify those situations that require supervision intervention for a solution
- Able to understand, comply and implement established processes, practices and systems
- Uses skill and judgment to ensure written or verbal outputs are clear, accurate, grammatical and of appropriate tone
Job Type: Full-time
Pay: $65,000.00 - $80,000.00 per year
