Program Supervisor coordinates and monitors the scheduling, pricing, and technical performance of company programs. Responsible for aiding in the negotiation of contracts and contractual changes and coordinating preparations of proposals, plans, specifications, and financial conditions of contracts. Being a Program Supervisor develops new business and expands product line. Ensures adherence to master plans and schedules and develops solutions to program problems. Additionally, Program Supervisor recommends changes to improve process efficiency and alleviate process inaccuracy and duplication. Requires a bachelor's degree. Typically reports to a manager. The Program Supervisor contributes to moderately complex aspects of a project. Work is generally independent and collaborative in nature. Job Summary:
Incumbent performs a full range of clerical duties and assists the Program Manager and Director of Community Services.
Major Responsibilities/Activities:
• Review LIHEAP applications and CSBG Client Benefit Payment Requests received from each Neighborhood Service Center (NSC) for accuracy.
• Enter LIHEAP applications into the State processing system (EAP) • Submit daily LIHEAP e-bills to Finance for payment.
• Prepare program information, input data, make copies, prepare files, fax documents, etc.
• Provide clerical support, data entry, and tracking of program requirements.
• File invoices, contracts and other important documents, and archives older documents as needed.
• Monitor, evaluate, and facilitate corrections of discrepancies in filing and record keeping system.
• Prepare and submit electronic requisitions for departmental expenses to the Director for approval.
• Correspond with Finance Department regarding E-Reqs, vendors, payments, etc.
• Monitor inventory of office and janitorial supplies
• Process monthly supply order for the Department including all Neighborhood Services Centers
• Perform other duties as assigned by the Director of Community Services
Minimum Requirements:
• High School Diploma or General Education Degree (G.E.D.)
. • Associates degree (A.A.) or equivalent from a two-year college or technical school preferred.
• Minimum of one year’s experience in a clerical position or related field.
• An equivalent combination of experience and education will be accepted. Essential Mental Functions:
• Ability to type 55 words per minute. • Detail oriented with strong written, verbal, and interpersonal skills.
• Knowledge of and ability to apply general office organization and administration skills
. • Ability to utilize computer software such as Microsoft Office Word, Excel, PowerPoint, and internet software.
