DAV is currently searching for a highly motivated and experienced individual to join our team as a Procurement Project Planner.

Job Summary:

The Procurement Project Planner maintains areas of inventory control, warehousing, direct mail, and project management. Ability to exercise discretion and independent judgement when troubleshooting problems involving several variables in a variety of situations. Facilitates project plan through completion with suppliers, shipping & receiving, customers, upper management, and internal departments.

Essential Functions:

Project Management:

• Maintains business owner relations and satisfaction
• Coordinate with business owner, internal resources, and suppliers for the execution of projects
• Strategize with departments for best practice and efficiencies in their programs to ensure budget, quality, and timelines are met
• Make recommendations to improve time, material and end results all while bringing costs down
• Ensuring that all projects are delivered on-time, within scope and budget
• Develop a detailed project plan to track and manage progress
• Communicate changes with business owner regarding impact on project scope, schedule, and costs
• Work with internal team and trusted DAV partners to create detailed projects, programs, and job flow processes
• Learn and understand the business owner’s needs and listens for any opportunity to provide improved services or processes to the organization
• Analyzes and obtains job specification to complete RFQ’s for estimating according to the business owner’s specifications
• Furnish necessary reports as required by management

Inventory and Direct Mail

• Collect data, material requirements, production schedules and project execution for mailings on behalf of the owning department
• Work with vendors on data conversion, proofing, and inventory supply for program mailings
• Coordinate delivery of DAV owned materials with shipping and receiving staff
• Monitor and maintain appropriate inventory levels of stock items by running reports and weekly ordering for onsite and offsite inventory locations
• Creation of inventory control numbers for onsite and offsite locations
• Preforms reconciliation of postage processing and direct mail cost into the ERP system
• Solicit vendors to obtain product or service information, such as price, availability, and delivery schedule
• Analyze project variables and formulate optimal recommendations
• Develop planogram to organize inventory and oversee completion
• Coordinate inventory movement with the shipping and receiving staff
• Maintain records regarding cost, delivery, product quality, performance, and inventories
• Maintain obsolete inventory by analyzing reports and working with owning department
• Expedite deliverables to business owners as needed
• Discuss defective or unacceptable goods or services with vendors to determine source of trouble and the corrective action
• Purchase Order processing to vendors, verify delivery schedule, and recommend changes in multiple platforms
• Inform manager of any problems which cannot be corrected, are continuing, or may have an effect on production
• Coordinate physical inventory tasks for procurement, shipping and receiving
• Coordinate and enter all inventory adjustments with the owning department, accounting, and procurement manager

Administrative Duties

• Regularly update work progress in DAV’s project management tool as a system of record
• Subject matter expert of the project management system for the Procurement Department
• Assist IT Department in periodic ERP system testing as required
• Serve as a back up to all critical responsibilities of the Procurement Coordinator and Shipping & Receiving Facilitator
• Required to perform duties, as directed by management as requirements dictate

Essential Skills and Experience:

• High school diploma or equivalent required
• Project management experience preferred
• Inventory and ERP System knowledge preferred
• Basic computer skills required
• Microsoft Office experience required
• Capable of working at a fast pace and ability to organize and prioritize workload
• Interpersonal skills and good telephone etiquette
• Ability to read, write, and perform basic mathematical calculations
• Overtime including weekend work may be required
• Must be adaptable with the ability to alternate among several different duties at any given time
