Purchasing Clerk initiates, prepares, processes, and verifies purchase orders following established guidelines to purchase materials and goods by required delivery dates. Inputs transactions and administers a purchasing and contracts system or database. Being a Purchasing Clerk interacts with suppliers to obtain favorable pricing terms, product specifications, monitor availability, and optimize savings. Expedites delayed orders and resolves issues with changes, returns, replacements, and credit arrangements. Additionally, Purchasing Clerk coordinates with internal teams to ensure that procurement needs are met promptly and efficiently. Requires a high school diploma. Typically reports to a supervisor or team leader. The Purchasing Clerk works under the close direction of senior personnel in the functional area. This position is for a Purchasing/Inventory Coordinator with experience with vendor management, order processing, and inventory management.
Primary Responsibilities:
· Creating purchase orders for outside vendors and ensuring all PO information is correct and accurate before initiating the order process. May engage with colleagues to gain missing information.
· Subject matter expert for all vendor pertinent information including turnaround time, points of contact, inventory on hand, and sequencing of work.
· Set and maintain raw material safety stock, re-order points and update lead times
· Communicate with managers and manufacturing on potential material delays, supplier disruptions, inventory discrepancies, etc.
· Manage new and obsolete inventory
· Conducts routine cycle counts of in-house inventory
· Maintain pricing histories and other vendor records
· Prepares reports as needed and keeps inventory records
· Analyze and calculate costs of procurement and suggest methods to decrease expenses
· Optimize sourcing procedures to attain maximum efficiency
· Perform other related duties as assigned
· Conduct year-end inventory and report results
Preferred Qualifications:
· Proficient with Microsoft Office Suite, especially Excel
· ERP System
· Prior supply chain, purchasing, and/or inventory management experience while working within a manufacturing environment is preferred
· Excellent organizational skills and attention to detail
· Excellent verbal and written communication skills with proven negotiation skills
· Must be resilient with ability to recover rapidly from adversity or change; must have the ability to bounce back from difficult situations; have the capacity to make realistic plans and take steps to carry them out; must have confidence in individual strengths and abilities
Physical Requirements:
· Prolonged periods of sitting at a desk, working on a computer, and walking the plant floor.
· Must be able to lift up to 15 pounds periodically.
· Must be able to access all areas of the facility to determine purchasing needs
