Description
Performs advanced administrative work in finance and accounting and plays a critical role in managing the financial operations of the organization, with a primary focus on accounts payable. Additionally, this position will assist with purchasing activities and serve as the backup for payroll processing. The ideal candidate will possess a strong background in finance and accounting, with experience in municipal government being preferred. This position requires a detail-oriented professional with excellent organizational and communication skills. The work is performed under the general supervision of the Deputy Finance Director.
Essential Job Functions
- Manage the full accounts payable cycle, including invoice processing, verification, and payment.
- Ensure timely and accurate processing of payments to vendors and suppliers.
- Reconcile accounts payable transactions and resolve discrepancies.
- Maintain vendor records and communicate with vendors regarding payment status and inquiries.
- Monitor and track expenditures against budgeted amounts for departments, projects, and grants.
- Crosstrain to serve as the backup for payroll processing.
- Assist in the preparation and processing of payroll as needed.
- Ensure compliance with payroll policies and procedures.
- Assist in the preparation of financial reports, including monthly, quarterly, and annual statements including 1099 filings.
- Support the Deputy Finance Director in analyzing financial data and trends.
- Assist with internal and external audits by providing necessary documentation and information.
- Ensure compliance with applicable financial regulations and organizational policies.
- Maintain accurate and organized financial records and documentation.
- Assist in the development and implementation of financial policies and procedures.
- Assist with special projects such as accounts payable automation including electronic payments to vendors and evaluation of software platforms.

Requirements
- Bachelor’s degree in finance, accounting, or related field or equivalent combination of education and experience is required.
- 5-7 years of progressive experience in finance and accounting roles.
- Experience in municipal government or public sector finance is strongly preferred.
- Proficient in accounting software and financial management systems.
- Strong understanding of accounts payable processes and general accounting principles.
- Familiarity with payroll processing and purchasing procedures.
- Excellent organizational, analytical, and problem-solving skills.
- Strong attention to detail and ability to work independently.
- Effective communication and interpersonal skills.
- Advanced Excel skills required.
Physical and Cognitive Demands Requirements
