This job is full-time and begins on July 1, 2024. It's based in our Olympia office, but our Tribal Cultural Affairs team mostly works remotely or with a mix of office and remote work. You'll need to come to the Olympia office occasionally, but how much will depend on the situation and your supervisor's approval. We're seeking someone with the right skills and a passion for supporting Tribal arts and culture.

What you will be doing:
This job is housed in the Tribal Cultural Affairs (TCA) program at ArtsWA. You'll work under general supervision and handle various tasks like tech support for online events, keeping records, managing contracts, handling invoices, assisting grant panels, tracking budgets, and other administrative duties. TCA Program Goal: To support Washington tribal communities as they expand, enhance, or create space for art and culture, in a way that is respectful and responsive to each community’s needs.

Expand arts participation by ensuring that communities across the entire state of Washington have access to culturally relevant arts experiences.

Who we are looking for:
Do you have strong administrative skills and an interest in arts, equity, and/or culture? ArtsWA is looking for a strong collaborator to support the many projects in our busy Tribal Cultural Affairs program. The ideal candidate is interested in connecting administrative details to our community access goals. We are looking for someone proficient with Excel, Teams, Zoom, Word, and Outlook. A background in the arts or Tribal experience is a plus, but not required.
The work requires organization, independent follow-through, flexibility with piloting new processes, collaboration, and the ability to work on overlapping projects with layered deadlines.

Duties
In this position, you will:
TCA Grant Programs
-
Manage grant applications, final reports, and other associated documents.
-
Screen grant applications for eligibility and completion.
-
Provide technical assistance and guidance to grant applicants.
-
Prepare and issue TCA grant award contracts and notifications.
-
Maintain and organize applications, correspondence, and information for public record.
-
Manage grant panel logistics.
-
Manage panelist payments, lodging, travel, and special accommodations as needed.
Fiscal Support
-
Receive grant payment requests and prepare invoices for manager approval.
-
Post and track all program payments.
-
Reconcile program budgets with agency budget reports.
-
Manage program record management and retention.
-
Produce reports from databases to document the impact of grant investments.
-
Prepare, distribute, and manage TCA professional service contracts and payments.
-
Schedule travel, including airfare, hotels, rental cars, as well as reimbursement requests.
Event and Scheduling Support
-
Schedule meetings and online events in Outlook.

Manage Zoom event creation, registration, and set up.
-
Provide technical support for Zoom meetings, convenings, and events.
TCA Communications Support
-
Draft, edit, and proof program correspondence and associated materials.

Qualifications
REQUIRED:
Bachelor’s Degree in public administration, arts administration, or similar field.
AND
Two years of experience including planning, policy analysis, coordination, and consultation with a variety of public and private agencies, organizations, and/or state or tribal government.
** Administrative or managerial work experience may be substituted for education on a year-for-year basis.
OR
Associates degree plus four years of experience including planning, policy analysis, coordination, and consultation with a variety of public and private agencies, organizations, and/or state or tribal government.
OR
A total of six years of relevant and progressively responsible experience as outlined above.
AND
Computer skills, including Microsoft Office (Word Access, Excel, and Outlook).
PREFERRED/DESIRED:
One year or more of administrative experience:

in support of a recognized arts, cultural, philanthropic, or Tribal program.

that includes fiscal processes such as drafting contracts, processing invoices, working with grants, and/or online application systems.

Knowledge of and experience working with Tribal communities.
