Position Overview
Reporting to the Corporate Rental & Renewed Manager, the Rental Coordinator is responsible for forklift pricing, processing, auditing and documentation. This role also collaborates with intra-departmental teams to ensure accuracy and smooth operations and handling of various administrative responsibilities. This position is an in-office position (Monday – Friday) based out of the RSCI Columbus office.
Key Responsibilities (including, but not limited to):
- Coordinate and process internal and external forklift rental requests and general inquiries for material handling equipment.
- Ensure proper equipment is delivered, picked-up, properly serviced and invoiced.
- Sourcing equipment, which includes collaborating with customers to determine their material handling equipment needs and providing appropriate recommendations.
- Ensuring customers rental request is followed up with via-email or phone in a timely manner.
- Providing and receiving rental documentation.
- Daily maintenance of numerous files.
- Communicate directly with customers, sales representatives, and Customer Care Managers.
- Prepare rental agreements, ensuring all necessary documentation is completed accurately and in a timely manner.
- Schedule and coordinate delivery and pick up of rentals and customer-owned equipment, including batteries and chargers.
- Assist service department with delivery and pickup of install equipment.
- Communicate with customer and sales team regarding problems, concerns and opportunities as they pertain to the Rental Department.
- Willing to be cross trained to support other departments.
- Be familiar with the specifications and functions of all equipment in the rental fleet.
- Compile reports: utilization, sales commissions, payables.
- Coordinate billing through correct accounts and other major/national accounts as required.
- Track (physical) rental fleet (trucks, batteries and chargers) through RSCI documentation process.
- Maintain control of all sublet rental equipment.
- Going into warehouse to select forklifts, batteries and/or chargers.
- Checking in with local service centers for updates on rental preps.
- Auditing returned rental equipment for damages and following process for customer billing for damages.
- Equipment Swaps (Renewed, Rental, Power)
- Processing rental call offs
- Perform audit functions within department for documentation, inventory, work orders, rental orders, and any others assigned by rental lead or manager.
- Perform other duties as assigned.
Qualifications- Previous coordinator experience in a sales and/or rental department
- High school diploma or equivalent
- Excellent written and verbal communication skills
- Excellent Organizational Time Management skills
- Proficient in Microsoft office Suite and similar software
- Must be able to maintain effective working relationships with employees, Co-workers, and Managers in other departments
