Position Title: Executive Adminstrative Assistant
Job Class: Salary/ Non Exempt
Reports To: Executive Director
Summary:
This position is responsible to maintain the financial records by making sure there is an accurate record of the financial transactions of the firm on the day-to-day activities. The primary duties and responsibilities include developing systems to show the financial activities made daily, by establishing a chart of accounts. The position is also responsible for maintaining subordinate accounts by verifying and allocating transactions. The bookkeepers are also responsible for balancing accounts by reconciling entries making sure that nothing is lost or omitted in between. Other than accounting, duties associated with this position include purchasing, filing, and other basic business administration duties as required.
Performs all functions in fulfillment of MVBRF standards of excellence, utilizing continuous improvements in processes, policies, and procedures to nurture an environment which fosters optimal productivity and service to our customers.
Qualifications
DUTIES AND RESPONSIBILITIES
I. General
· Contribute to team effort by accomplishing related results as needed.
· Develop and update administrative systems to make them more efficient.
· Resolve administrative problems.
· Develop and maintain computer and manual filing systems.
· Implement clerical duties and administrative processes.
· Conduct data entry.
· Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
· Assist in the preparation of regularly scheduled reports.
· Receive, sort, and distribute the mail.
· Write letters and emails on behalf of other office staff.
· Book conference calls, rooms, taxis, couriers, etc.
· Handle sensitive information in a confidential manner.
· Take accurate minutes of meetings.
· Coordinate office procedures.
· Reply to email, telephone, or face to face inquiries.
· Answer telephone calls and pass them on
· Provide general support to visitors.
II. Human Resources
· Updating changes to the personnel record as benefits change and/or reflecting all pay increases.
· Updating and Maintaining Records of US Census Bureau
· Payroll processing and 403b submission every pay period.
· Other duties may be assigned.
III. Annual Audit of Operations
· Responsible for assisting in the compilation of reports that are required for the annual audit of operations of MVBRF at all levels.
IV. Purchasing
· Assists with ensuring that purchasing documents are complete and accurate.
· Maintains pricing histories and other vendor records.
V. Bookkeeping
· Assists with records numerical and financial data to produce financial records.
· Assists with invoicing process.
· Assists with ensuring that financial data is entered correctly and accurately.
· Assists with reconciliations.
· Printing Checks for Vendors
· Making bank deposits and scanning support documentation for files
· Maintaining all state licenses and registration active along with its annual renewal
VI. Internal Controls
EDUCATION & EXPERIENCE
Bachelor’s degree in business or closely related field or 3 years of administrative assistant experience.
KNOWLEDGE, SKILLS, & ABILITIES
Proficient in QuickBooks and Microsoft Office, especially Microsoft Excel. Knowledge of non-profit accounting or grants management, representing a sound working knowledge of non-profit accounting principles and account structures, definitions, and purposes. Person will need to quickly learn the applicable governmental regulations and Board policies for financial matters. Incumbent must be a self-starter and independent achiever of all duties and responsibilities. Must have exceptional communication skills.
EQUIPMENT
Ability to use computer and general office equipment.
WORKING CONDITIONS
Work will be performed in a standard office setting within the VA hospital. Some lifting, walking, standing, and sitting will be required.

None.
SUPERVISION
Received: Position reports directly to the Executive Director.

Pay: $25.00 - $26.00 per hour
