  • We are seeking a full-time Administrative Assistant at Sacred Heart Catholic Parish in Aberdeen beginning January, 2025. The Administrative Assistant will be the first point of contact for individuals contacting the parish offices, in person or through email, and will be responsible for maintaining parish records in order to submit timely reports to the Diocese.

    Essential Duties and Responsibilities:

    • Courteously greets office visitors and assists in answering questions.
    • Exercises confidentiality regarding parish finance, personnel and matters involving parishioners.
    • Manages Ministry Scheduler Pro and runs quarterly reports.
    • Schedules use of parish facilities, maintaining use agreements and collecting rental fees.
    • Using personal experience of sacrificial giving and being a conscientious steward of others’ donated dollars.
    • Manages Safe Environment to ensure staff and volunteers are compliant.
    • Manages office supplies inventory and places orders as necessary.
    • Organizes and processes bulk mailings.
    • Records and processes death disposition paperwork.
    • Deposit weekly financial contributions to the parish bank accounts.
    • Assists the Finance Manager and Business Manager in identifying issues that are in need of the Pastor’s attention.
    • Assists new members with registration.
    • Manages relationships with vendors and service providers in a manner in keeping with being a representative of the Catholic Church.
    • Assists the Office & Finance Manager with Diocesan annual reports, including the Necrology.
    • Commits to ongoing participation in training and continuing education.
    • Assists with writing and editing correspondence, as needed.
    • Excellent communication skills to tactfully triage calls and visits to discern how to best serve various constituencies.
    • Ability to work with a variety of personalities in order to successfully work with staff and volunteers.
    • Ability to manage large volumes of information in order to accurately record parish data including, but not limited to sacramental records, sacramental notifications; births, deaths, marriages, cemetery information, etc., as required for Pastor’s signature and filing.
    • Other duties as assigned

    Job Type: Full-time

    Pay: $18.00 - $22.00 per hour

    Expected hours: 36 per week
