Assists the DOS with the administrative work associated with hotel group, catering and sales business. Communicates all vital information clearly through BEO’s and Convention Resumes.
Coordinates guest’s needs, clarifies and firms details of meeting rooms, functions, menus, and audio visual requirements after a booking is made on groups assigned by the Director of Sales.

• Contacts people (exhibitors) associated with groups to confirm and modify additional food and meeting functions. Confirm final counts for events and catering as needed weekly.
• Monitor group pick-ups and adjust inventory as needed, communicating cut-off and deposit dates as needed to hotel staff and clients.
• Schedule Tuesday-Saturday to ensure weekend groups and events are overseen and coordinated as per client needs in BEO and Resumes.
• Contacts people (exhibitors) associated with groups to sell additional food functions.
• Uncovers as much information as possible from the meeting/event planner regarding the group’s habits in order to aid other hotel outlets in their staffing, i.e. Front Desk/ Food and Beverage/Housekeeping.
• Coordinates deliveries, shipments and disbursements of all group equipment and collateral.
• Updates functions (in STS) as group’s agenda becomes finalized in order to minimize space needs and free space for catering sales. Notifies sales of any changes or additions to outlined agenda that requires re-negotiation of rental or terms of contract.
• Prepares group resumes per specification of the Director of Sales.
• Prepares for and discusses major groups at the forecast and BEO meetings at request of the Director of Sales.
• Greets and makes introductions of Banquet Manager to meeting/event planners upon their arrival at hotel and assists to ensure a smooth transition to that department.
• Arrives on property 60 minutes prior to large food functions and remains until sure the meeting/event planner is comfortable with all details. Introduces planner to Banquet Manager.
• Remains available on a priority basis to handle in-house guests needs.
• Enters in STS by Friday 5pm weekly plan for the upcoming week to include resumes and BEO’s to be written, future meeting/event planning in process, and time permitting, special projects which can be completed to assist the local sales effort.
• Submits each Friday the weekly production report, which is a breakdown of food, beverage, and room rental sales during the week.
• Performs other duties as assigned by the Director Sales or General manager.
• Maintains a pleasant relationship with customers and personally assists with the last minute requests.
• Assists in serving banquets, etc. as needed.
• Must be aware of entire hotel operation.
• Performs other duties as Requested.

Job Type: Part-time

Pay: $14.00 - $17.00 per hour
