    Statement of the Job:

    This position performs a wide variety of administrative, financial and clerical duties in support of the School of Performing Arts. This position involves daily contact with a wide variety of constituents both external and internal to the University campus, including students, faculty, university administrators, business contacts and alumni. Expectations include a professional demeanor, excellent communication and financial skills, sound judgment, flexibility, resourcefulness, competence in applying policy to individual situations, and the ability to work both collaboratively and independently. Full-time, regular position, 40 hours per week, 5 days per week. Normal daily work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m. This position pays $21.33/hour, or applicable transfer rate.

    Essential duties and responsibilities include, but are not limited to:

    • Monitoring and reconciling all budgets for the School of Performing Arts including E&G (base budgeted funds), gift accounts, and external commitments.
    • Managing procurement, including purchase orders, check requests, and professional service contracts.
    • Providing financial reporting and advising the school director on effective financial management.
    • Completing a variety of HR forms including contracts for part-time temporary faculty, temporary hires, and students.
    • Training and supervising administrative support staff including: prioritizing and assigning work, and conducting performance evaluations.
    • Performing a full range of communications, both verbal and written, regarding non-routine questions, issues and procedures; handling the most complex and sensitive customer/student requests requiring a comprehensive understanding of relevant policies, procedures and rules.
    • Preparing of the annual HEADS report for the National Association of Schools of Music accreditation office.
    • Overseeing coordination of end-of-semester juries and junior standing exams and final exams.
    • Working with School of Performing Arts administrators to coordinate course scheduling for the fall, spring, and summer sessions.
    • Performing other duties as needed.

    Qualifications:

    Required:

    • Two years of related, post high school education or equivalent work experience and training.
    • Demonstrated track record of customer service excellence.
    • Excellent knowledge of financial and purchasing procedures, systems, recordkeeping, policies, etc.
    • Ability to manage multiple complex responsibilities simultaneously, develop and implement systems and strategies, determine and set priorities, meet deadlines, and track details.
    • Ability to work independently as well as collaboratively as a member of a team in a professional setting.
    • Strong organizational skills with attention to detail and accuracy.
    • Excellent interpersonal skills and the ability to interact effectively with diverse groups of constituents on campus and throughout the state and region.
    • Demonstrated skills in exercising sound judgment and discretion in dealing with sensitive issues.
    • Excellent computer skills, with fluency in all Google Workspace and Microsoft Office applications – particularly Excel.

    Preferred:

    • Associate or Bachelor degree in a related field with a minimum of three years progressively more responsible administrative experience.
    • Previous work experience at a university level.
    • Previous experience with Peoplesoft, Concur and Infosilem.
    • Basic knowledge of database management.
