Service Contract Administrator prepares, reviews, administers, and tracks service contract proposals and renewals. Explains service terms to customers and answers questions about contracts. Being a Service Contract Administrator secures necessary approvals and ensures that the standard contract terms are followed. Escalates issues involving customer claims about service to management. Additionally, Service Contract Administrator may participate in review of customer issues and may recommend modifications to the services or terms. May assist with contract negotiations. We are looking for a dynamic, self-starting individual to join our Service administration team.
Primary Responsibilities:
Duties include, but are not limited to:
· Answer phones and generate emergency service call work orders
· Coordinate inspection and repair appointments with customers and building personnel
· Follow up with field technicians and subcontractors for completed reports
· Review completed work orders and process for invoicing
· Review completed test reports for accuracy and code compliance. Submit to various reporting agencies and customers.
· Analyze and evaluate processes for improved efficiency
· Active participation in process improvement efforts
· Assist in identifying customer needs and perform high volume of administrative duties
· Must provide strong and clear oral and written communication, and be able to respond to routine inquires in a timely manner
· Knowledge of principles and processes for providing customer service, which includes interpretation and execution of customers’ contractual and non-contractual expectations and deadlines, meeting quality standards for services, and ability to evaluate customer satisfaction and strong follow up skills
· Recent working knowledge of software including Word, Excel, and Outlook are required
Qualifications:
· Associates degree or equivalent work experience
· 2 years of scheduling and/or dispatching experience preferred
· Ability to participate productively in a diverse team environment, including personnel in the following departments: Sales, Operations, Warehouse, and Field Technicians
· Familiarity with service and/or construction environment is desired
· Highly motivated and success driven with strong interpersonal and communication skills
· High degree of self-discipline and organization
· Typing speed 45 WPM
