The Land Trust’s work to protect and restore Bainbridge lands and waters is done to honor past generations, preserve a legacy for future generations, and build a network of protected lands resilient to a changing climate.     The Bainbridge Island Land Trust’s Operations Manager reports to the Executive Director and is responsible for managing the Land Trust office and organization-wide volunteer program to ensure an effective, organized, and smooth functioning work environment that supports all aspects of the organization.

    In addition, this central role provides support to the organization’s Board of Directors and all staff. This position provides an opportunity for a detail-oriented, self-starting, and organized individual to serve an essential role within the Bainbridge Island Land Trust. The successful applicant will be personable, highly organized, and able to work independently in addition to being part of the greater staff and board team.

    PRIMARY RESPONSIBILITIES:

    Office Management (75%):

    • Ensure the office is organized and fully functional by maintaining all office systems, supplies, and equipment. This includes organizing physical and digital workspaces, ensuring supplies are well-stocked and accessible, and tracking and negotiating contracts and agreements.
    • Maintain and manage all Land Trust held policies and procedures, including insurance, employee health insurance, state registrations and licenses, etc.
    • Organize and distribute Board materials. Attend monthly Board of Directors meetings and responsible for taking written minutes.
    • Serve as the lead contact with the IT contractor to ensure all technology systems are updated and operating smoothly.
    • Assist organization with the screening, hiring, and onboarding of new employees and interns.
    • Answer phones and greet office visitors. Functions many times as first point of contact with the public and serves as a key source of information for those making inquiries of the Land Trust.
    • Process incoming and outgoing mail daily.
    • Maintain an organized filing system for both physical and digital documents, ensuring easy access and retrieval for all staff.
    • Assist with the coordination of events and staff, Board, and Committee meetings.

    Volunteer Management (25%):

    • Manage the volunteer program to support the work of all departments with the use of volunteer management software (Volgistics) and Salesforce to monitor volunteer schedules, sign-ups, and communications.
    • Collaborate with staff, Board, committees, and community partners in identifying and developing volunteer opportunities.
    • Assist in management and coordination of volunteer trainings.

    QUALIFICATIONS:

    • A commitment to conservation.
    • Bachelor’s degree and two years of experience or equivalent combination.
    • Proficient in Microsoft Office applications, computer operations, and troubleshooting technology issues.
    • Strong organizational skills and attention to detail.
    • Experience in recruiting, training, and managing volunteers.
    • Excellent communication skills and the ability to manage multiple projects at any given time.
    • Must be able to manage confidential information with discretion and integrity.
    • Experience building relationships with staff, volunteers, supporters, or similar.
    • Experience in writing, editing, and proofreading.
    • Experience with event coordination and management.

    This position requires occasional evening and weekend work and the physical ability to pick up and move materials weighing up to 30 pounds. A valid driver’s license is required.

    SALARY & BENEFITS

    Annual starting salary range: $48,000-56,000. This is a full-time, salaried position (40 hours/week). Occasional weekend or evening work associated with events or other Land Trust activities will occur.

Benefits include medical, dental, and vision coverage. Additional benefits are offered with tenure, e.g., SIMPLE IRA 3% employee match. Annually, the Land Trust offers 12 paid holidays, 12 paid sick days, and 15 paid vacation days, with vacation days increasing at tenure benchmark.
