Detailed Job Description
The standard work schedule is primarily during the day Mon-Fri. The schedule may also include night and weekend coverage in order to provide support for RIT events.

Provide event planner and project management services for events occurring on the RIT Campus. This includes, but is not limited to:

Advise Clients, as needed, to determine their needs for an event to ensure customer satisfaction

Direct Clients to the appropriate vendors and suppliers need for the event to take place
-
Attend planning sessions and requesting stakeouts as needed
-
Manage requests for FMS services: Custodial, Grounds, Parking, etc.

Direct and oversee the work of FMS Staff, students and contractors working in support if special event projects
-
Supervision of Events Coordinator, Site logistics, and vendor relations
-
Interface with the EMS software system including billings and invoicing for FMS Services
-
Work with PSO and act as the point person for campus wide vendor contracts related to events

Provide leadership and direction in collaboration with the Supervising Director of the special events Special Events team. This includes, but is not limited to:

Recruiting, coaching, mentoring, and fostering teamwork and engagement of staff

Ensuring adherence to quality standards, deadlines, and proper procedures
-
Delegating work to staff and managing their workload

Carrying out staff appraisals, performance counseling, and corrective action as needed

Develop and maintain processes and procedures to support collaboration within FMS and provide excellent customer service to the University for special events. This includes, but is not limited to:

Develops and communicates procedures

Implement improvements to the process and automate elements of the events process

Obtain feedback on events to continue to improve customer service
-
Provide backup coverage for the Supervising Director and the Special Events Field Coordinator as needed.

Minimum Qualifications
Experience/Education-
Bachelors degree in Public Relations, Communications, Hospitality or related field, plus 5 years of experience in an Events, Hospitality Management, or similar role. In lieu of a degree, 10 years experience in an Events, Hospitality Management, or similar role may suffice.
- 1 year experience leading teams. Creating and supporting an environment that focuses on coaching and development. Leads by example-promotes positive interaction with employees, vendors, students and supervisors by mutual respect for all peoples needs.

NOTE: The successful candidate hired for this position will be required to drive on occasion, and therefore will be required, upon hire, to immediately enroll in the NYS LENS program.
