Summary: The DME Bracing Specialist is responsible for performing functions associated with the distribution and sales of durable medical equipment. The Medical Records Clerk is responsible for managing patient’s health records and history.
General Summary of Duties: (Other duties may be assigned.)
Responsible for proper measuring and application, and patient education on use and care of orthopedic soft goods, functional bracing, bone growth stimulators, and all other products dispensed by practice
Provide customer service to patient in relation to products dispensed; Coordinate patient care for follow-up brace fitting appointments, as necessary
Handle inventory management, including initiating purchase orders, ordering, receiving, tracking and organizing inventory, and overseeing inventory at satellite locations; Manage defective product returns and exchanges
Responsible for verifying patient insurance benefits and eligibility for products dispensed and ensures patient fully understands whether insurance coverage is available; Collect up front payments for any applicable patient out-of-pocket costs and cash sales; Complete required insurance authorizations as necessary
Participate in staff education/training on measuring, fitting, use and care, documentation, and patient benefits and eligibility requirements of dispensed products
Obtain and complete required documentation, forms, patient signatures, orders from provider, etc. in accordance with billing and compliance guidelines
Serve as point of contact for sales representatives from external companies regarding products distributed by practice; Troubleshoot issues with sales representatives as they pertain to products they represent
Secure patient information and maintain patient confidentiality
Communicate efficiently with other departments to ensure best care for patient
Ensure applicable certifications are up to date, including continuing education requirements
Prepare patient charts; Retrieve any pertinent records and information of patient’s medical history and have available prior to patient’s appointment
Ensure medical records are organized, accurate and complete
Utilize multiple electronic databases from outside facilities or communicate via phone to locate necessary medical records and reports; Transfer outside medical records into facility’s main EMR system
Properly utilize EMR system and remain up to date on required training and procedures related to EMR system
Assist in coverage of other staff when necessary; Participate in orientation of employees when needed

Education and Training:
High School diploma or equivalent required at minimum
Experience working in related healthcare position required
Formal training and certification in a healthcare profession preferred
Knowledge of medical terminology and anatomy/physiology required
Physical Demands and Working Conditions/Requirements:
Work may require stooping, bending, reaching, and moderate lifting of up to approx. 50 pounds while assisting patients with mobility and positioning, moving supplies, and performing other daily job functions
Requires prolonged periods of sitting at desk and working at computer, as well as prolonged periods of walking and standing
Must have good computer and telephone communication skills and able to operate misc. office equipment
Hearing and vision abilities within normal range, or corrected, to observe and communicate with patients and staff
Ability to work in fast-paced environment in a professional medical office setting

Position Type and Expected Hours of Work:
Full time: 40 hours minimum per week; available for overtime as needed; varied day shift hours on week days with occasional coverage required on Saturdays
