POSITION SUMMARY
The Director of Business Operations (Director) has overall responsibility for the business (finance) operations of The Wolfpack Club (WPC). Along with oversight of membership services, the Director leads key financial and business operations. These include treasury and investments, financial borrowing, tracking cash flows and strategic planning. The Director is also responsible for risk and governance. The Director oversees Human Resource functions of the WPC. The Director is a member of the WPC Leadership team and should offer strategic insight and direction to help accomplish the organizational goals.
RESPSONSIBILITIES
· Oversight of the WPC accounting including monthly and quarterly reporting, budgeting, and audits.
· Act as liaison to Finance & Audit Committee of the Board of Directors as needed on business operational and finance matters throughout the fiscal year.
· Monitoring pledge balances, delinquencies, and cash flows; tied to specific projects and outside lending.
· Tracking of premium seat revenue and appropriate expenditures from revenue including real estate waterfall and submission of season ticket and parking dollars to Athletic Department.
· Develop and maintain appropriate business operating procedures to ensure accountability and transparency. Secure adequate risk management systems for the organization.
· Completion and review of Charitable Solicitation Licenses applications with third party vendor.
· Assist with job descriptions, performance reviews and overall WPC policies and procedures.
· Supervise all activities of information technology, donor reporting, business operational reporting and member services processing.
· Oversee delinquent donor accounts in relation to various season ticket holders for football, MBB and WBB.
· Manage and negotiate all external relationships and contracts including but not limited to banking, medical and retirement benefits, property and casualty (including insurance renewals), outside legal counsel (also includes periodic RFP’s).
· Endowment Fund Administration and Fund Reporting with NC State Investment Fund and Morgan Stanley. Attend NCSIF members board meetings along with member board representative (Treasurer of Board of Directors). Calculation of annual spending policy along with reviewing quarterly endowment contributions to NCSIF.
· External reporting to University Advancement, Foundations & Accounting and ACC.
· Review of 5500’s for defined benefit and defined contribution plans, in addition to reviewing monitoring performance and proposed changes if any to retirement plans.
· Responsible for staff on finance team and membership and gift processing team.
· Serve as a liaison between Association and Business Department of NC State Athletic Department.
· Other duties as needed by Executive Director.
· Game day and other special event responsibilities as needed.
MINIMUM REQUIREMENTS
· Bachelor’s degree and at least fifteen years relevant business operational experience.
· Experience with CRM databases and preferably, Paciolan, and Microsoft Office products.
· Possess strong Microsoft Excel skills.
QUALIFICATIONS/EXPERIENCE
· Non-profit experience preferred.
· Human Resources experience strongly preferred.
· CRM database experience and ERP experience (preferably Blackbaud’s Financial Edge).
· Analytical and financial modeling skills/experience.
· Strong leadership skills with ability to partner and communicate with colleagues, staff and donors.
· Commitment to excellent customer service for donors and university staff.
· Strong time management skills and ability to meet prioritize and meet deadlines.
· Ability to maintain high level of confidential information.
· Demonstrated understanding of fundraising principles as well as tax and regulatory guidelines.
· Experience providing leadership by example and influence with a collaborative, team-oriented, highly communicative approach.
· Self-starter with an ability to move multiple engagements/projects forward to completion.
· Ability to proactively identify issues and suggest solutions.
