Administrative Support Coordinator/Receptionist

  • JOB SUMMARY: This position is the first point of client contact at HACES, providing exemplary customer service and administrative support to visitors, clients, and staff. Primary responsibilities include managing the front desk, answering and directing phone calls, coordinating appointments, and performing various administrative tasks to ensure the smooth operation of the department. The ideal candidate should possess strong communication skills, impeccable organizational abilities, and a friendly demeanor to effectively represent HACES’s values.

    ESSENTIAL DUTIES:

    • Answer incoming calls, screen, and route calls to the appropriate case manager
    • Listen to voicemails and return missed calls
    • Screens clients for eligibility
    • Provide requirements to clients via text, email, or in person F
    • For new clients, schedule an initial appointment with the case manager for screening

    and determination

    • Refer clients to community resources as appropriate
    • Input new client information into the database
    • Schedule follow-up appointments for clients with designated program staff
    • Call clients for appointment reminders and/or send text messages; leave voicemail when there is no answer
    • Message case worker that their client arrived for their appointment via Vonage or by dialing their extension number
    • Attend walk-ins and provide information as instructed by case managers
    • Receive and organize intake documents for case managers as instructed. Any client who requests additional assistance with an intake, inform the case manager in a timely manner
    • Monitor volume of calls and requests for services and report to the supervisor any increases or decreases
    • Ensure reporting is conducting on a monthly basis
    • Ensure the copier has paper and toner and requests new orders when low in supply
    • Ensure office supplies are in stock or request new supplies
    • Make copies of client documentation in the event a case worker works from home
    • Perform other duties as needed to achieve the goals of the programs and the organization

    • The ability to remain flexible in a changing work environment
    • Basic computer proficiency required; experience with Microsoft and Google suites strongly preferred; experience using Salesforce for case management is a plus

    QUALIFICATIONS:

    • Associate Degree or High School Diploma
    • Two years’ experience as a receptionist
    • Prior experience with Microsoft Office and G-suite
    • Excellent communication and interpersonal skills
    • Organized and resourceful
    • Customer-focused
    • Active listener
    • Adept at prioritizing, scheduling, and multitasking
    • Ability to handle office equipment (e.g., the telephone system, copier, etc.)
    • Fast and eager learner
    • Commitment to immigrant rights and social, economic, and racial justice
    • Bilingual proficiency in Spanish and English is required
    • Flexibility to work some evenings and weekends as required
    • Must possess, maintain and have regular access to an automobile with valid driver's license and insurance

    PHYSICAL DEMANDS:

    The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee is required to operate normal office equipment and use a computer for extended periods.
