Receptionist needed to manage our front desk and perform a variety of customer service, administrative and clerical tasks during tax season. Duties include client contact via multiple methods as well as providing administrative support. You will welcome and greet people who visit the business, coordinate front-desk activities such as distributing documentation, correspondence and checks, redirecting phone calls and taking messages, and performing basic data entry. To be successful as Receptionist, you have a pleasant personality and a professional demeanor. You are capable of dealing with emergencies in a timely and effective manner, while also streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is necessary. Ultimately, the Receptionist’s duties and responsibilities ensure a positive client experience and provide efficient administrative support. Responsibilities

• Greet and welcome clients
• Answer, screen and forward/ take messages for incoming phone calls
• Retrieve and forward voicemail messages
• Update calendars and schedule appointments
• Ensure reception area is tidy and presentable
• Provide basic and accurate information in-person and via phone
• Receive, prepare and organize incoming client packets
• Distribute completed client packets and checks
• Perform basic data entry of client information
• Control access via the reception desk
• Participate in client calling campaigns
• Report any office supply shortages
• Perform duties such as printing, filing, photocopying, scanning and faxing
• Engage in information gathering and basic research as needed
• Uphold compliance with corporate and office procedures
• Maintain client confidentiality

Skills

• Proven work experience as a Receptionist, Front Office Representative or similar role
• Proficiency in Microsoft Office Suite (e.g. MS Office, MS Excel, MS PowerPoint)
• Hands-on experience with office equipment (e.g. fax machines and printers)
• Professional attitude and appearance
• Solid written and verbal communication skills
• Ability to be resourceful and proactive when issues arise
• Excellent organizational skills
• Multitasking and time-management skills, with the ability to prioritize tasks
• Customer service and problem-solving attitude
• Data entry and general computer skills
• High school degree; additional certification in Office Management is a plus

Job Types: Part-time, Temporary

Pay: $15.00 - $19.00 per hour
