Job Title: Billing Clerk
GENERAL PURPOSE: Creates and issues invoices for railcar services performed by Plant location, issue bill of ladings for railcar shipments, reviews and completes railcar files and other proper documentation. Assists the customer service and inspection departments as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to, the following:
1. Identifies railcars scheduled to come into plant for maintenance (En-Routes) and enters and / or updates en-route railcars in Company's computer system.
2. Using the Company's service request form, verifies that information and forms are completed.
3. Gathers information and / or forms such as SDS, Cleaning Certificate, Railcar Drawings and Shop Records, IO, and FMs that are required to service the railcar.
4. Immediately follows up with Plant Customer Service Rep, Customer, or Eagle's corporate customer service (phone, email) if needed information to service railcar is incomplete or not available during the initial notification (order).
5. Prepares railcar files to ensure the plant has appropriate forms, documentation, drawings and information to service railcar.
6. Reviews and verifies accuracy on completed paper work, billing, and railcar files on railcars that have been completely serviced.
7. Enters railcar information and completed services into computer system and creates invoices. Reviews and ensures invoices are accurate and sends to customers via mail or email.
8. Tracks invoices and follows up with customers regarding questions, disputes, credits, and payments.
9. Issues Bill of Ladings / Way Bill on railcars ready to ship.
TOOLS AND EQUIPMENT USED: Standard office equipment. Computer, MS office (Word, Excel), Ten-Key, Copier/Printer, etc.
