  • We are looking for an experienced & organized Event Coordinator to join our team. This position includes a variety or responsibilities taking each event from the initial inquiry all the way to the followup after the conclusion of a successfully executed event, so experience in both sales and operations is a must. Time management, organization, the ability to multitask and keep up with the all the different facets of the job is required to be successful in this position. The ideal candidate connects with clients, making them feel heard, and shows them how their vision can be realized in our venue. It is important to continue that level of attention to detail and care in the entire planning process, working out all the details and recording them appropriately, communicating with kitchen staff, event staff, vendors, and the client until the final “good night!”

    The right person for this position is self motivated, can manage themselves and their schedule to maintain the balance of reliable on site presence during “normal” business hours with availability to give tours of the venue during evening/weekend hours when potential clients are available.

    Compensation

    • $18-$22/hour

    Daily Responsibilities

    • Respond promptly to all inquiries received through email and phone/voicemails.
    • Maintain communication with incoming leads, prospective clients, and confirmed events.
    • Promptly and professionally respond to client requests, needs, and questions.

    Weekly Responsibilities

    • Finalize upcoming event details with clients
    • Distribute complete event sheets to chef and management at least 7 days prior to event
    • Manage inventory of event and office supplies.
    • Schedule event staff.
    • Conduct meetings with prospective or existing clients to discuss event details and tour the venue.
    • Prepare & send proposals and invoices to clients.
    • Coordinate with offsite vendors for setup, delivery, and/or collaboration on events.
    • Oversee & coordinate all events.
    • Send thank-you notes to clients following their events.
    • Maintain social media presence with events based content.

    As Needed Responsibilities

    • Coordinate ordering of specialty event supplies
    • Hire, organize and train team members on standard procedures to maintain consistency.
    • Communicate any needs or questions to management for prompt resolution.

    Qualifications

    • Previous experience in a sales role within the hospitality industry, with a focus on events.
    • Expertise in weddings & events, including menu planning, logistics, and execution.
    • Excellent communication and negotiation skills
    • Self-motivated and results-oriented, with a passion for exceeding targets and driving business growth.
    • Bachelor's degree in Hospitality Management, Business Administration, or a related field preferred.
