Executive Administrative Assistant
We are seeking a highly motivated and energetic Executive Assistant to join our team. The ideal candidate will be a self-starter with a passion for delivering outstanding customer service and creating a positive experience for all our clients.
Customer Service:
· Must be willing to always provide excellent customer service to all customers at all times.
· Answer and return phone calls and electronic communications in a prompt, friendly and professional manner.
· Build and maintain productive relationships with customers, take responsibility for customer satisfaction and loyalty.
· Act as liaison with all parties involved in the transaction, e.g. buyer, seller, listing agent, buyer agent, lender, mortgage broker and/or attorney.
· Help create a positive experience for all parties in the transaction.
· Greeting customers warmly and ensuring they feel welcome and attended to.
· Delivering excellent customer service and handling customer inquiries with care and attention.
· Assisting with accounts receivable tasks, including invoice processing and payment follow-ups.
· Maintaining the appearance of the lobby, coffee bar, and closing rooms, ensuring they are clean, organized, and welcoming.
· Collaborating effectively with other team members to support various office tasks and projects.
· Performing administrative duties such as filing, typing, copying, binding, scanning, etc.
· Handling sensitive information in a confidential manner.
Primary responsibilities:
· Proven experience as an executive assistant, administrative assistant or in a similar role.
· Excellent communication and interpersonal skills
· Strong organizational and time management skills
· QT initial point of contact (phone, email, walk-ins)
· Answering phones and directing calls to the appropriate party
· Greet customers with a friendly warm welcome
· Answer and forward emails to general info email account
· Order entry – entering in new orders received
· Assist with invoicing
· Order office supplies on a weekly basis
· Maintain lobby appearance, coffee bar and closing rooms daily
