Job Title: Executive Assistant to Vice President of Sales
We are in search of an exceptionally organized and proactive Executive Assistant to provide comprehensive support to our Vice President of Sales. This pivotal role involves managing daily account operations and is ideally suited for an individual who thrives in a dynamic and fast-paced environment. Your success in this position will be driven by your keen attention to detail, adaptability, and ability to foresee the needs of the Vice President.
Key Responsibilities
- Coordinate exclusive product presentations and facilitate purchase order placements for client meetings, ensuring seamless operations.
- Anticipate the Vice President's requirements and demonstrate flexibility with your schedule to accommodate early mornings, evenings, or weekends.
- Cultivate and sustain trusting relationships essential for the success of our sales accounts, serving as the primary contact for inquiries and communication regarding product information.
- Leverage your creativity and meticulousness to create PowerPoint presentations, sales proposals, and quotes, sourcing photography as necessary.
- Collaborate with the Vice President to assemble sales materials, product samples, and other essentials for trade shows and sales meetings.
- Manage the inventory database and analyze inventory reports, providing weekly updates to key customers.
- Prepare precise and current sales reports to assist the Vice President in identifying growth opportunities.
- Monitor order progress and delivery schedules, addressing any challenges and providing timely updates.
- Facilitate interdepartmental communication to ensure efficient account management, working closely with Marketing for packaging and sales collateral, Customer Service for purchase order updates, and the Import team for processing.
Required Skills
- Proven experience in an executive support role or equivalent.
- Strong proficiency in Excel, Word, PowerPoint, and Outlook, with a capacity to learn internal systems. Familiarity with Tableau and Asana is advantageous.
- Excellent organizational and time management capabilities.
- Superior written and verbal communication skills.
- Ability to perform effectively under pressure and meet stringent deadlines.
Qualifications
- A college degree in Business Administration, Marketing, or a related discipline is preferred. Candidates with a strong academic background and 1-2 years of relevant experience will also be considered.
