Maintains positive relationships with foundation stakeholders, including the board of directors, grantees, community leaders, donors, and prospective donors. Additionally, Top Foundation Executive oversees the budget, distribution of foundation funds, and investment strategies to ensure the financial sustainability required to fulfill the foundation's mission. Ensures all foundation activities comply with applicable laws, reporting requirements, and regulations. Requires a bachelor's degree. Typically reports to board of directors or trustees.     Position Summary:

    The Executive Assistant will perform a wide range of administrative and office support activities and aid the President/CEO in facilitating the efficient operation of the organization.

    Scope:

    The Executive Assistant reports to the Chief Executive Officer and is responsible for providing senior-level secretarial and clerical services for The Catholic Foundation of Greater Philadelphia.


    • Responsibilities:

      Provide office support services in order to ensure efficiency and effectiveness within the office. Duties include, but are not restricted, to the following:

      • Maintain the President/CEO’s appointment schedule by planning and scheduling meetings, teleconferences, as well as coordinating and booking travel arrangements.
      • Assists the President/CEO with daily administrative duties and completes a broad variety of administrative tasks that include completing expense reports; composing and preparing correspondence; arranging travel plans (as needed), itineraries and agendas, and compiling documents for meetings.
      • Assists and supports the President/CEO and Executive Management Team in preparing for Board and Committee meetings and donor and client presentations, including preparing meeting materials, keeping track of meeting progress and follow-up items, and preparing and revising correspondence and other documents, as necessary.
      • Works closely and effectively with the President/CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
      • Answer and direct telephone calls and general emails, and appropriately relay important information promptly and clearly, maintaining confidentiality as needed.
      • Manage sensitive matters with a high level of confidentiality and discretion.
      • Plan, coordinate, organize, and help at various meetings, events, and celebrations.
      • File correspondence and appropriate documents accordingly
      • Pick up deliveries and run errands as needed

      Education, Experience, and Personal Traits:

      • A deep commitment to the mission of CFGP and a passion for serving those in need.
      • A strong understanding of the Roman Catholic faith.
      • Bachelor's Degree preferred.
      • A minimum of 3 years of office experience.
      • Must be proficient in Office 365 (Outlook, SharePoint, Word, Excel, PowerPoint).
      • Excellent verbal and written communication skills.
      • Highly organized and self-motivated.
      • Detail-oriented and excellent time management skills and ability to proactively prioritize work.
      • Demonstrates ability to take initiative, anticipate needs and exercise independent/sound judgment.

      Physical Requirements:

      • Prolonged periods of sitting at a desk and working on a computer.
      • Ability to work occasional evenings and weekends.
      • Moderate lifting – 20-50 pounds
