Executive Assistant

The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to details. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we are looking for someone to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
Job Summary
MAGNET is searching for an Executive Assistant to support three of the organization’s senior leaders. The right candidate will be able to help these individuals through calendar management, meeting and event organization and support, email organization, and expense reporting.
The position is based at MAGNET’s Cleveland office and can be a hybrid role.
Essential Functions Include:
- Coordinate complex scheduling and calendar management for three individuals
- Support three individuals with email management to help stop things from falling through the cracks
- Handle expense monthly expense reports
- Help coordinate and manage meetings
- Coordinate periodic travel arrangements, including flights, hotels, and other reservations
- Maintain list of external event sponsorships and help coordinate appropriate staff attendance
- Build positive working relationships with peers at partner organizations
- Other duties as assigned
Critical Traits, Skills and Experience
- Maintain professionalism and strict confidentiality with all materials
- Three or more years of experience in an administrative role reporting directly to upper management
- Excellent written and verbal communication skills
- Organized and able to juggle numerous, concurrent projects
- Experienced with Microsoft Office Suite and aptitude for learning new systems
- Experience with Power Point to help with slide decks
- Flexible team player, willing to adapt to changes and unafraid of challenges
